Work Schedule : Fully on campus
Primary Function : Responsible for the administration of box office finances, sales, customer relations, staff / student / co-op supervision, reports, and scheduling. This position is front-facing and responsible for ensuring the consumer satisfaction of all patrons including all public, VIP guests, donors, corporate sponsors, foundation representatives, guest artists, students, faculty, and staff. While supervising box office and front of house staff, this role develops ongoing strategies and tactics to create a welcoming and positive experience for our community and patrons.
Qualifications :
- Bachelor degree in business, accounting, or related field (or equivalent education, skills, and directly related work experience).
- Minimum of two years related experience in ticket sales or closely related field and supervisory experience.
- Exceptional people and communication skills. Able to think quickly and solve problems in an instant to ensure the comfort and accessibility of our patrons.
- Highly organized and detail oriented. Able to work well with and supervise others as well as work independently, and manage all box office employees including assistants, over hire, temporary employees, co-op positions, work study and apprentices.
- Strong computer, technology, and data reporting experience.
- Well versed in computerized ticketing systems (Tessitura).
- Flexible work schedule including evenings, Saturdays and Sundays.
- Supervisory responsibilities : 15 part-time direct reports including assistants, over hires, temporary employees, co-op positions, work study students, and student apprentices.
Duties and Responsibilities :
Offer exceptional customer service and be an ambassador for the Pittsburgh Playhouse of Point Park University. Handle customer problems and complaints; enforce theatre policies, protocols and procedures.Manage and train full-time / part-time staff, co-op (s) and student work study / apprentices; interview and select for hire all box office and patron service personnel.Schedule staff and box office, patron service hours / activities.Manage the box office computerized ticketing system; create season, including designing and imputing season packages. Contact software vendor to resolve system software problems, as needed.Execute, maintain and monitor financial accountability for all ticket sales to include single tickets, subscriptions, groups and special promotions.Responsible for all box office cash receipts; maintain and verify the cash boxes and Box Office cash receipts.Prepare and verify daily deposit sheet for cashier. Reconcile and file daily deposit sheets when returned from cashier. Settle online sales with business office. Generate and submit monthly Amusement Tax Report.Oversee and maintain a clean and current patron database.Generate reports including popularity sales, source codes, list codes, performance sales subscription sales and all reports needed for Managing Director.Process donations, including PIE reports and returned ticket letters.Assist in proofing design and distribution of printed materials used for single ticket sales, group and field trips, including follow-up notices, promotional materials, flyers, program announcements, and instructional sheets.Job may require lifting light weight objects (1-10 lbs) with no repetitive bending or stooping. Occasionally lift average weight objects (1-10 lbs).
