We are searching for an experienced, highly organized and dedicated Program Assistant to join our Children's Learning Center. This pivotal role goes beyond typical administration-it's an opportunity to be an influencer, an operational leader. You will be the operational backbone of our center, ensuring we meet every regulatory standard while fostering a safe and enriching environment for our children, families, and staff.
You will be crucial in supporting the Director and ensuring the day-to-day excellence of our program. Your responsibilities are wide-ranging and impactful :
1. Operational & Compliance Management
Daily Flow : Support daily operations, ensuring strict compliance with all ECECD licensing and regulatory requirements.
Scheduling Master : Develop weekly staff and break schedules to guarantee all classrooms are consistently in-ratio and running smoothly.
Safety Coordination : Coordinate and maintain all health and safety responsibilities, including fire / lockdown drills, maintaining fire extinguisher certifications, kitchen health permits, and performing daily screening and classroom walkthroughs.
Essential Paperwork : Process ECECD background checks for all agency staff working at the CLC.
2. Staff & Training Support
Training Coordinator : Ensure all staff meet required training deadlines, coordinating new training sessions, and meticulously logging professional development for every CLC team member.
Ratio Support : Provide essential coverage in classrooms as needed to maintain ECECD required staff-to-child ratios.
3. Financial & Enrollment Administration
Contract Management : Process, track, and manage all ECECD contracts, monitoring approval and expiration dates.
Reporting : Prepare and deliver critical monthly reports on ECECD contracts and complete the monthly NM PreK report.
Enrollment Driver : Manage the enrollment process, ensuring classrooms maintain a capacity of 80% or higher . This includes managing waitlists, assisting families with applications, and creating required IEAs.
4. Family & Administrative Connection
First Impression : Manage the front desk, professionally answering phones and providing key information to callers.
Community Builder : Collaborate with teachers to create meaningful family engagement activities.
Data & Reporting : Track, review, and analyze program data to provide accurate reports for the Director and COO.

Qualifications Required :
experience and a CDC may substitute but employee must be working toward an AA and / or BA degree
