Our client is seeking to contract with, via agency vendor a proactive and highly organized Administrative Assistant to support a fast-moving project team leading the development of a new advanced manufacturing facility. This role will focus heavily on interview coordination and calendar support during an aggressive hiring phase, with additional responsibilities spanning meeting preparation, document support, and project coordination.
The ideal candidate is a strong communicator, detail-oriented, and comfortable working with minimal oversight. Experience in fast-paced, project-driven environments and / or HR experience is preferred. Familiarity with regulated industries such as life sciences, engineering, or advanced manufacturing is a plus.
Tasks :
- Coordinate and schedule interviews across multiple stakeholders and time zones
- Manage and maintain project calendars, including rescheduling and conflict resolution
- Track interview status and maintain clear documentation of candidate progress
- Prepare and distribute meeting agendas, action logs, and notes
- Support onboarding of new hires by coordinating intro meetings and logistics
- Assist with document formatting, version control, and organization (e.g., SharePoint, Teams)
- Provide light project coordination support as needed (e.g., maintaining trackers, summarizing action items)
