Export & Operations Document Coordinator

Primary Purpose :

Administers the documentation processes required to import and export merchandise and materials in compliance with federal, state, local, or country-specific regulations. Prepares and reviews all required documentation, coding, and calculations of duties, tariffs, price conversions. Completes any required payment transactions that accompany shipments. Ensures that all documentation is up to date and recorded in tracking systems. Support day-to-day Sales & Operations activities for Export BU.

Responsibilities :

• Daily coordination with export sales and operations to ensure the successful execution of export orders and samples, preparing documentation help support coordination.
• Interact with freight forwarders and transportation management personnel to ensure timely delivery of shipments.
• Maintain and update Export tracking log, identify potential issues and relay to team. Run weekly export call.
• Connect with internal shipping department and freight forwarders to provide loading documents when orders ship
• Support customs clearance process such as, FDA, classification and Hazmat shipments.
• Coordinate the release of goods with carriers, CBP, and other governmental agencies as required.
• Prepare documentation, update files, file AES, and send documents to overseas offices for approval.
• Receive, review, and process high-volume and complex export transactions for customers, including booking, billing, and classification.
• Validate booking and process airway bills accordingly.
• Develop and maintain international customer profiles covering logistics, compliance, documentation and relate customer requirements.
• Ensure accuracy of AES entries, running timely reports and alerting necessary individuals when corrections are needed for immediate resolution.
• Perform clearance on all OGA (other governmental agency) requirements as prescribed by regulatory requirements or customs specific procedures.
• Interface with customers for all orders and coordinate time sensitive delivery of original documents.
• Interface with government agencies to obtain export certificates
• Define and manage best practices for export. Ensure compliance with rules / regulations for export processes
