Summary of Position

The Marketing Coordinator will support the Marketing team with all administrative related tasks and play a key role in supporting the marketing team’s efforts to enhance brand visibility and create meaningful guest experiences. This position will contribute to the execution of marketing initiatives, including social media content development, partnership marketing, event activations, and brand campaigns. The coordinator will assist with the planning and organization of events, support communication with vendors, partners, and internal teams, and help ensure that all marketing touchpoints reflect the brand's identity. This role requires a detail-oriented individual who is passionate about storytelling, brand presence, and delivering impactful moments across digital and in-person platforms.

Roles and Responsibilities

  1. Communicate effectively with guests, partners and colleagues with a friendly, courteous and professional demeanor.
  2. Respond to the needs of partners and guests in a timely manner.
  3. Organize the database of UGC and content libraries for repurposing across channels.
  4. Monitor trends on TikTok, Instagram Reels, and other emerging platforms, and present ideas for branded content.
  5. Handle community management on social platforms (Instagram, Facebook, TikTok, YouTube, Pintrest) in responding to DM's, reposting stories, commenting on other brands, commenting on influencer's accounts etc
  6. Assist with taking content for Event activations (i.e. Easter, Mother’s Day, pop ups, launch events etc)
  7. Craft up detailed resumes for photoshoots and content missions, as well as Event activations
  8. Oversee smaller scale photoshoots and handle logistics
  9. Own smaller event activations i.e. National Days
  10. Gather props, event décor and arrange spaces for activations in collaborations with the Catering Team
  11. Ensure resumes and all internal communications are completed accurately, on time and distributed to all necessary colleagues
  12. Assist with small graphic design projects such as menus and invitations
  13. Assist with research for partner collabs, brands
  14. Answer the phone in a pleasant manner and can answer questions as it relates to the hotel (hours of operations, amenities, outlets, etc.)
  15. Organize Media stays (reservations, amenities, gifts, welcome cards, Spa appointments, special requests) and entertainments and obtain approvals
  16. Assist with the organizing Press Trips (reservations, appointments, activities, gifts)
  17. Schedule meetings with partners or internal departments for the DOSM and Marketing team
  18. Attend internal Marketing (i.e. F&B, Spa, Festive) meetings with other departments, type up notes and distribute for follow up
  19. Keep up open line of communication and good working relationships with operational departments to ensure all activations are supported
  20. Share all press clippings with MBH team and Corporate Office
  21. Generating reports, preparing proposals, collecting details through research and coordination with clients
  22. Writing Group Resumes (i.e. for Press Trips)
  23. Work with Sales Coordinator to ensure our inventory of office supplies and site amenities are maintained. Alert management when we inventory is low.
  24. Ensure all invoices are tracked and put in Birchstreet for approvals
  25. Research city-wide events, festivals, shows, and sporting events
  26. Compile and contribute reporting as directed
  27. Able to multi-task and manage a varied work-load
  28. Proactive and with initiative, highly organized and efficient.
  29. Proficiency in Excel, Word, PowerPoint, Adobe programs like Acrobat, Indesign, Illustrator; Canva, Opera and Salesforce is preferred.
  30. Develop and maintain positive working relationships with others, and support team to reach common goals.
  31. Performs other related duties as assigned by the Marketing team.

Qualifications

  • High school diploma is required and a bachelor’s degree or associate’s degree in hospitality or culinary arts is preferred.
  • Prior experience as a coordinator, or other relevant position/experience in the hospitality, PR, Marketing or Media field.
  • Related experience in a luxury establishment is a plus.
  • Excellent communication skills and effective problem-solving skills.
  • Solid organizational and time management skills.
  • An ability to multitask in a fast-paced and demanding environment.
  • Must be friendly, approachable, and customer-focused

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Possible prolonged periods of standing.
  • Must be able to lift 15 pounds at times.
