Job Description

The Mailroom Coordinator is responsible for overseeing the day to day operations of the mailroom for the Boston Public Health Commission.
DUTIES
- Oversee mailroom activities, including receipt, sorting, and distribution of incoming mail; preparation of outgoing USPS and express services; receiving dock shipments.
- Consult with internal staff concerning printing, mailing, or fulfillment projects handled on-site or contracted to an outside vendor.
- Ensure that all mail and packages are properly labeled for mailing, with correct postage utilizing automatic postage meter machines.
- Monitor the outgoing mail packing and shipping process, incorporating FedEx, USPS, Registered, Certified and First-Class Mail Plan, allocate, and monitor daily workflow; maintaining department schedule to ensure commitments are met.
- Maintain the inventory system for supplies.
- Maintain department records.
- Assist with the installation of the new barcode scanning and tracking system for the mailroom.
- Manage Neopost postage machine and associated software (NeoTrack 5.0 Scanner / Bar Code Reader, Sitori Software for USPO address verification).
- Generate reports on mailroom operations, including daily postage use, supply inventory, volume of mail received and delivered, and outgoing mail packed and shipped.
- Responsible for overseeing the mailroom vehicle and working in con junction with the Operations Coordinator on related expenses and overall budget.
- Working to help BPHC become an antiracist organization by meeting or exceeding the standards set by the BPHC Anti-Racism Policy.
- Perform other duties as required.
