Description : Position Summary :
The Senior Accountant / Finance Manager plays a critical role in supporting the Agency’s daily accounting operations while also taking on higher-level finance and operational responsibilities. This position oversees core accounting functions (A / R, A / P, reconciliations, deposits, billing, grant allocations) and partners closely with the CFO to support budgeting, financial reporting, audits, and compliance.
Responsibilities (including but are not limited to) :
Accounting Operations (A / R, A / P, General Ledger)-
- Process, review, and reconcile Accounts Payable and Accounts Receivable.
- Prepare and submit monthly billing for grants and contracts; ensure accuracy of supporting documentation.
- Maintain accurate vendor files, process bi-monthly payments, and ensure timely disbursements.
- Verify coding accuracy, approvals, supporting documentation, and compliance with internal accounting policies.
- Prepare daily deposits and process incoming credit card payments and donations.
- Maintain accurate and organized financial records.
- Serve as a backup for other finance-related functions as needed.
Financial Management & Reporting-
Prepare monthly bank reconciliations.Assist in reviewing and maintaining the general ledger.Support preparation of monthly and quarterly financial statements.Monitor and maintain cash balances; assist with fund transfers and cash-flow tracking.Assist in tracking grant expenses and allocations; ensure proper usage of restricted and unrestricted funds.Support the preparation of financial reports for the CEO and Board Finance Committee.Budgeting & Grants-
Assist with development of the annual organizational budget and program budgets.Track expenditures and help ensure compliance with grant requirements.Support grant billing, reporting, and documentation for audits or funders.Audit & Compliance-
Assist in preparing schedules, documentation, and reconciliations for the annual audit and IRS Form 990.Help ensure adherence to all federal, state, and grantor financial compliance requirements.Maintain up-to-date financial documents, tax-exemption certificates, licenses, and business filings.Insurance, Vendor Management & Operations Support-
Support monitoring and renewal of organizational insurance policies.Assist with obtaining Certificates of Insurance as required by funders and partners.Support the CFO in reviewing contracts, purchasing documentation, and operational finance needs.Other duties as assigned.Summary of Physical Requirements : This position primarily works in an office environment but may require movement throughout Agency facilities or off-site locations. Duties may include extended periods of sitting, significant computer work, document review, and occasional local travel.
Requirements : Qualifications :
Bachelor’s degree in accounting, Finance, or related field required.Minimum 3–5 years of accounting experience, preferably within a nonprofit.Strong proficiency in MS Office, especially Excel; familiarity with nonprofit accounting software preferred.Strong understanding of GAAP and nonprofit accounting practices.Ability to manage multiple priorities and meet deadlines.Strong interpersonal, written, and verbal communication skills.Detail-oriented, analytical, and a proactive problem solver.Ability to maintain confidentiality and work with sensitive financial information.
