Employed by College of Medicine-Phoenix, this administrator will oversee scheduling and site management of all UACOM-P students rotating through a Banner department. They will support faculty and local administration to facilitate medical student rotations.

The successful applicant is essential to operations of the curriculum and is responsible for communication and collaboration with various other departments, faculty, and students at the College of Medicine – Phoenix and Banner University Medical Center – Phoenix. This role serves as the liaison between the campus and numerous clinical sites. This position is responsible for the operational functions of student education in the department, and will contribute to required and elective curriculum, event planning, student scheduling, calendaring, data analysis, and program evaluation aspects of the assigned specialty (ies).

Duties & Responsibilities

• Clerkship Coordination & Scheduling.
• Coordinate with faculty to facilitate curriculum and inpatient / outpatient student scheduling for clerkships, sub-internships, electives, selective, and foundational shadowing within the department.
• Communicate with clinical sites for clinical capacity, student scheduling, and faculty titles. Initiates faculty titles for preceptors as needed.
• Confirm that students meet all requirements prior to beginning a rotation:All pre-rotation requisites are required documents are submitted through MyClinicalExchange and processed successfully.Support the scheduling process by working with program coordinators and chief residents to facilitate placement of UME students alongside GME trainees and visiting and communicate rotation requirements and scheduling assignments directly with UACOM-P students.Organize student Cerner/EMR access, badging requests, and provide/track distribution and collection of educational materials ( textbooks), student meal cards, lockers, scrubs, and/or deposits.Contribute to the development and implementation of departmental scheduling processes under the guidance of program leadership.Provide input to faculty and OCC regarding rotation scheduling considerations based on student volume and site availability.Coordinate with external institutions and Banner partners to assist in resolving schedule conflicts and maintaining compliance, escalating issues as needed.Monitor onboarding logistics and propose adjustments to program leadership as needed (, site assignments, EMR access timing).Assist in updating orientation materials and department-specific student resources based on guidance from faculty or senior program staff to reflect evolving operational needs.Support the identification of potential inefficiencies or compliance concerns and share observations with OCC leadership for review.
  Operational and Administrative Support:
• Support clerkship directors, site directors, and site coordinators with day-to-day operations related to LCME compliance and curricular initiatives, under the guidance of a supervisor or program manager:Coordinating EMR access, onboarding, scheduling platforms (Oasis, One45), and educational logistics.Monitor evaluation compliance and session logging in alignment with LCME standards and assist faculty and staff in resolving identified gaps based on established procedures.Organizing and executing department-specific orientations, room/speaker coordination, and adapting to last-minute changes in teaching assignments.Compile and summarize clerkship evaluation and scheduling data for review by program leadership to support improvements in clerkship delivery.
• Maintain and update curriculum in on-line curriculum management (Oasis) and learning management platforms (One45) or other platforms with program leadership.
• Organize room bookings, speakers and AV setup as needed.
• Respond to student and faculty questions related to UACOM-P rotations and refer complex inquiries to the appropriate program staff or leadership.
• Provide and help design departmental orientation, documentation, and tour content for students as needed on a per-rotation basis.
• Prepare student contact information / photo rosters as needed for faculty preceptors.

Assessment & Student Progress Tracking:

• Coordinate and administer student quizzes & exams where applicable.
• Schedule mid-clerkship feedback meetings between students and faculty.
• Oversee the solicitation and tracking of student completion of requirements (assignments, presentations, evaluations, etc.) throughout their rotation.
• Organize and track all departmental faculty preceptorship / mentorship requirements for students.
• Actively solicit and collect required written and/or verbal student performance feedback from resident and faculty preceptors.
• Ensure all feedback is submitted to the appropriate director in advance of applicable deadlines.
• Process students through any required check-out workflows (ex: medical record completion) at the end of their rotation.
• Reporting & Quality ImprovementAnalyze and then organize data to generate reports on educational performance metrics for curricular evaluation and development purposes.Participate in all quality improvement and structural planning meetings related to student education within the Duties as between COM-P main campus and other sites in collaboration with the Office of Clinical Curriculum (OCC).

Knowledge, Skills, and Abilities:

• Ability to coordinate and communicate effectively with faculty, students, and clinical partners across multiple sites.
• Ability to manage sensitive academic information and maintain confidentiality in accordance with institutional policies.
• Skill in organizing schedules, tracking educational requirements, and managing multiple priorities with attention to detail.
• Knowledge of clinical education environments and workflows, including familiarity with student rotation logistics.

• Bachelor's degree or equivalent advanced learning attained through professional level experience required.
