Job Summary :
The Legal Calendar Clerk will oversee and maintain the legal calendar for the firm, ensuring that all legal deadlines, court dates, filings, and other critical events are tracked accurately. This position involves managing a detailed and organized calendar system, assisting with scheduling, and maintaining communication between attorneys, clients, and court personnel.
Key Responsibilities :
Maintain Legal Calendars :
Track deadlines, hearings, motions, filing dates, and other key dates for cases.
Ensure that all time-sensitive tasks are completed on schedule.
Use legal case management software to update, track, and organize dates for ongoing cases.
Coordinate with Attorneys and Staff :
Collaborate with attorneys and legal assistants to ensure all relevant deadlines are met.
Remind attorneys and clients about upcoming court dates, meetings, and filing requirements.
Assist in setting up meetings or conference calls related to cases.
Court Filings and Deadlines :
Ensure timely filing of documents with the court, adhering to procedural requirements.
Monitor and report upcoming deadlines to ensure compliance with legal timelines.
Maintain Case Files :
Ensure all case-related files are properly organized and updated.
Manage the tracking of legal documents and case-specific materials.
Communication :
Communicate with court personnel and government agencies to confirm deadlines or court dates.
Notify attorneys and staff of scheduling changes or conflicts.
Document Review :
Review incoming and outgoing documents for deadlines and correct filing dates.
Client Interaction :
Occasionally, interact with clients to notify them of upcoming appointments or deadlines.
Administrative Support :
Assist in general office duties, including filing, copying, and document preparation, as needed.
Recordkeeping :
Ensure that all legal events and deadlines are accurately logged and documented for future reference.
Skills and Qualifications :
Education : High school diploma or equivalent (some employers may prefer an associate’s degree in legal studies or a related field).
Experience : Prior experience in a law firm, legal department, or court setting preferred but not required.
Attention to Detail : High attention to detail to ensure accurate tracking and management of deadlines.
Organization : Ability to manage multiple cases and tasks simultaneously while adhering to strict deadlines.
Communication : Strong verbal and written communication skills, with the ability to communicate effectively with attorneys, clients, and court staff.
Technical Skills : Proficient with legal management software (e.g., Clio, LexisNexis, Time Matters) and Microsoft Office Suite.
Time Management : Strong time management and organizational skills to handle high-volume workload and tight deadlines.
Confidentiality : Ability to handle sensitive and confidential information with discretion.
