Seva Senior Services is a growing healthcare organization providing Adult Day Health (ADH), Home Care (PSS), and Structured Family Caregiving (SFC) services. We support seniors and families through Medicaid-funded programs and are actively expanding our operations. We are looking for a highly organized, reliable Executive Administrative Assistant (Part-Time) to support our executive team and help keep our offices, documentation, and follow-ups organized as we continue to grow.
This role exists to support the executive team with organization, follow-up, documentation, and administrative execution, ensuring that important details, deadlines, and tasks do not fall through the cracks. This is a hands-on support role, ideal for someone who enjoys organization, note-taking, and follow-through in a fast-paced, growing environment.
Attend executive and leadership meetings as needed
Take clear, organized meeting notes
Maintain action-item and follow-up trackers
Send reminders and follow-ups on deadlines and commitments
Assist with meeting agendas, summaries, and simple reports
Track executive-level deadlines, renewals, and key dates
Keep physical and digital offices organized and audit-ready
Manage and organize:
Receipts, Checks, Mail, Invoices, Claims-related paperwork (organization only)
Ensure files are properly labeled, uploaded, and stored
Maintain clean and consistent shared folders and file systems
Order office supplies, printed materials, uniforms, and basic equipment
Support office organization and administrative needs across departments
Assist with documenting processes and SOPs under the direction of the Operations Manager
Take notes during process walkthroughs
Draft and format SOPs using provided templates
Upload and organize SOPs in shared systems (Google Drive, Trainual)
Track SOP status (drafted, reviewed, approved)
Help leadership stay organized during new program or location expansion
Track deadlines, documents, applications, and follow-ups
Maintain checklists and timelines related to expansion initiatives
Provide administrative support to ensure projects move forward smoothly
Assist with onboarding and offboarding checklists
Help track basic technology setup and access
Provide support where administrative gaps exist, as directed
Highly organized and detail-oriented
Strong note-taking and written communication skills
Comfortable with follow-ups and reminders
Tech-savvy (Google Workspace, PDFs, shared drives)
Reliable, proactive, and consistent
Comfortable working in a growing, evolving environment
Prior administrative or executive support experience preferred but not required
In-office: Tuesday–Thursday
Hours: 6–8 hours per day
Reports initially to the executive team
Role may expand over time to support Operations as the company grows
