Administrative Assistant
We are looking for a dedicated Administrative Assistant to join our team in Palo Alto, California. In this role, you will handle essential administrative tasks to ensure smooth operations, including patient registration and documentation management. This is a long-term contract position ideal for someone who thrives in a dynamic and collaborative environment.
Responsibilities :
- Accurately register patients and process admissions in line with organizational policies and procedures.
- Collect and document patient co-payments, deductibles, and deposits during registration.
- Secure patient signatures on legal and registration-related documents.
- Scan and upload all required documentation into the designated system before the end of each shift.
- Verify patient insurance and demographic information using online systems and payer websites.
- Prioritize tasks effectively during high-volume periods to enhance operational efficiency and customer service.
- Collaborate with clinical staff to provide necessary documents, wristbands, and updates in a timely manner.
- Distribute privacy notices and maintain compliance with organizational and regulatory standards.
- Attend department meetings, workshops, and training sessions to stay updated on procedures.
- Ensure all office equipment is functional and implement downtime protocols when needed.
Requirements :
High school diploma required; Associate degree preferred.Typing proficiency of at least 30 words per minute.Ability to navigate and use multiple computer programs simultaneously.Strong verbal and written communication skills.Exceptional customer service abilities with a solution-oriented mindset.Self-motivated and skilled in prioritizing tasks effectively.Knowledge of HIPAA regulations and familiarity with handling sensitive legal documentation.Capacity to work both independently and collaboratively in a team environment.
