Your Schedule
Monday – Friday + PRN (as needed) Weekends
Objective
The Scheduler / Administrative Assistant plays a key role in supporting the daily operations of BrightCare Home Care. This individual provides administrative support to office staff, caregivers, and clients while helping ensure smooth scheduling and exceptional service delivery.
Success in this position requires excellent communication, organization, and multitasking skills—along with hands-on experience using WellSky to manage schedules, documentation, and client information.
Your main responsibility will be to match BrightCare clients with dependable and skilled caregivers to create meaningful relationships and ensure consistent, high-quality care.
What You’ll Be Doing
Primary Responsibilities
Warmly greet all visitors and provide professional, friendly assistance.
Answer incoming calls promptly (ideally by the second ring) and direct them to the appropriate staff member.
Perform general clerical tasks such as mail handling, copying, filing, faxing, and maintaining office supplies.
Oversee the maintenance of office equipment (printers, fax machines, phones, etc.) and coordinate with vendors when needed.
Respond to caregiver inquiries, provide information, and schedule necessary follow-ups.
Handle client inquiries with care—scheduling assessments, responding to questions, and ensuring timely communication.
Accurately update and maintain client and caregiver records in WellSky and Excel.
Support marketing efforts by gathering photos and updates for BrightCare’s monthly newsletter.
Step in when needed to fill short-term caregiver shifts to maintain continuity of service.
Secondary Responsibilities
Manage a high volume of scheduling calls, ensuring open shifts are filled quickly and accurately.
Match clients with the most suitable caregivers based on skills, personality, and availability.
Maintain accurate documentation of schedules, client details, and caregiver performance.
Collaborate with team members to resolve client or caregiver issues promptly and professionally.
Preferred Qualifications
At least 1 year of hands-on experience using WellSky (ClearCare) for scheduling and documentation.
Excellent communication and problem-solving skills.
Strong ability to prioritize and manage multiple tasks in a busy environment.
