Executive Assistant
This role ensures that the assigned Leadership Team member(s) and other department leadership operate efficiently and effectively by providing cross-functional administrative support in a fast-paced work environment. This key individual will manage multiple deliverables, commitments, and correspondence in support of the function's needs and foster an overall high-performing work environment for the executive and the functional team(s).
Responsibilities
High-Performance Calendar Management
- Manages and serves as the gatekeeper for all executive (L14+) calendar needs across multiple time zones and business unit partners, including global travel, global meetings, weekly meetings, and day-to-day meeting requests.
- Proactively anticipates the needs of executives and takes the initiative to perform tasks with little supervision and provide innovative ideas and solutions when needed.
Departmental Needs
- Routes or answers correspondence not requiring executives' attention; analyzes situations and responds accordingly.
- Coordinates team building programs, manages department meetings, and drives culture initiatives.
- Supports onboarding logistics for new functional team members.
- Manages office supplies and orders as needed or requested.
- Reviews and tracks expense reports and codes and tracks invoices.
- Provides support for functional team members visiting from other markets internationally.
- Sets up new local and international vendors for cost center accounts in partnership with Accounts Payable.
- Supports and assists the Leadership Team (LT) with outside boards as required.
- Acts as a trusted partner to the KFC US LT and other KFC US Executive Assistants.
Travel Arrangements & Visas
- Creates all travel arrangements, including international and domestic flights and lodging.
- Obtains and oversees all visa documentation for travel in partnership with the immigration team.
- Coordinates international and domestic travel agendas and provides itineraries.
- Monitors and adheres to all international travel regulations when organizing travel.
Qualifications

- Education/Certifications
- Preferred: Bachelor's degree
- Experience
- Required:
- 5+ years of administrative experience with extensive knowledge of general office practices
- General understanding of corporate collaboration and business acumen
- Experience working with Global business and managing International time zones
- Superior software skills including Microsoft Office products and the ability to compose, type, and proof a variety of letters, documents, and presentations with minimal supervision
- Solution-oriented mindset
- Flexibility, detail and results orientation, and strong follow-through skills
- Highly organized with the ability to perform multiple tasks and handle changing priorities successfully in a fast-paced environment
- High degree of integrity when dealing with confidential and sensitive information
