SCOPE OF SERVICES
Scheduling
- Develop, maintain, and optimize comprehensive project schedules using industry-standard scheduling tools and Public Safety Programs processes
- Coordinate resource allocation across multiple concurrent projects and initiatives
- Monitor schedule performance and identify conflicts, delays, and opportunities for schedule optimization
- Prepare schedule reports including critical path analyses, program milestones, 30-day look-aheads, and timeline impact assessments
- Facilitate scheduling meetings and coordinate timeline dependencies across project teams
- Assist Project Managers with calendar management for milestones, deliverables, and stakeholder engagements
Project Planning & Strategy
Define project approach, resource requirements, roles, and responsibilitiesDevelop project charters, scope statements, and project deliverablesCreate and manage project plans and communication plansDevelop estimates and assumptions for schedule, effort, and cost using established modelsBuild, maintain, and organize project schedulesCoordinate site visits to ensure project requirements are aligned and validatedAssistant Project Management
Provide direct support to Project Managers in planning, execution, and performance trackingMonitor deliverables, milestones, and metrics against baselined expectationsCoordinate cross-functional activities and ensure effective communication among stakeholdersAssist with risk identification, documentation, and mitigation planningSupport the creation of project status reports, presentations, and executive briefingsAnalytical Support
Conduct qualitative and quantitative data analysis to support project decision-makingDevelop and maintain dashboards, metrics, and KPIs using program software toolsPerform trend and variance analysis on schedulesCreate reports and visualizations to communicate key insightsIdentify patterns and recommend process improvements across projectsAssist with forecasting and capacity planningDocument Management
Establish and maintain comprehensive document management systemsEnsure version control, access permissions, and retention-policy complianceCoordinate document review cycles, approval workflows, and audit processesMaintain repositories, templates, and standardized documentationSupport regulatory compliance through proper record-keepingManage document distribution and communication with stakeholdersCreate and update process documentation and standard operating proceduresAdministrative Support
Support PMO functions including change requests, scheduling coordination, and reporting activitiesEnsure proper storage and maintenance of project artifacts throughout the project life cycleMANDATORY SKILLS / EXPERIENCE

Bachelor's degree from an accredited collegeMinimum 5 years of experience managing medium- to large-scale projectsAt least 4 years of project management service experienceAdvanced proficiency in Microsoft ProjectStrong analytical and problem-solving abilities with high attention to detailExcellent written and verbal communication skillsDemonstrated ability to manage multiple priorities and meet deadlinesSolid understanding of project management principles and best practicesExperience with process improvement and organizational development initiativesDocument management experience using SharePointProven ability to serve as the focal point of contact for project management, financial, administrative, and technical mattersProficiency in MS Word, PowerPoint, Project, and VisioExperience planning and scheduling projects with significant dependenciesDESIRABLE SKILLS / EXPERIENCE
