Job Overview :
The Data Entry Clerk is responsible for entering, updating, and maintaining accurate data in the company's systems. This role requires attention to detail, excellent typing skills, and the ability to manage large volumes of data. The Data Entry Clerk will work with various departments to ensure that data is accurate, up-to-date, and easily accessible for future use.
Key Responsibilities :
Input data into company databases or systems accurately and efficiently.
Enter large volumes of data from paper documents, spreadsheets, forms, or other sources.Ensure that all entered data is correctly formatted and complies with company standards.Data Validation :Verify the accuracy of data by reviewing input before final submission.
Cross-check and validate data entered from different sources to ensure consistency.Database Maintenance :Update existing data and delete obsolete or incorrect information from the database.
Organize and manage data files to ensure that they are easily accessible for other teams or departments.Quality Assurance :Review data entries for any errors and correct them as needed.
Perform periodic data audits to maintain data integrity.Document Management :Maintain physical or digital filing systems to organize documents and data.
Sort and categorize documents to ensure easy retrieval.Reporting and Documentation :Assist in generating reports from the database when needed.
Keep accurate records of tasks completed, including data entry milestones and deadlines.Confidentiality :Maintain confidentiality of sensitive or proprietary information at all times.
Follow company protocols for handling confidential or private data.Collaboration :Work closely with other departments to ensure data is transferred correctly and processed according to company needs.
Communicate any issues or discrepancies to supervisors or other relevant team members.Required Skills & Qualifications :
Education : High School Diploma or equivalent (Associate's degree or certification in office administration or related fields preferred).Experience : Previous experience in data entry or office administration is preferred but not required.Skills :Fast and accurate typing skills.
Strong attention to detail and accuracy.Proficiency with spreadsheet and word processing software (e.g., Microsoft Excel, Google Sheets, MS Word).Basic understanding of database management and data entry tools.Excellent organizational and time management skills.Ability to work independently with minimal supervision.Good communication skills to collaborate with team members and departments.Working Conditions :
