JOB SUMMARY :
Round Hill Community Church is seeking a Church Administrator to ensure the smooth functioning of the business of the church and campus and serves as a central resource for staff, committees, board of trustees, and congregants. This role facilitates communication, manages day-to-day operations, and oversees administrative, human resources / payroll, and logistical functions with a focus on service, stewardship, and organizational excellence.
The Church Administrator reports to the Senior Pastor and provides leadership and oversight to 3 direct reports : Administrative & Facilities Coordinator, Campus Manager, Bookkeeper.
Location : Onsite, Greenwich, CT
WHAT YOU WILL DO :
Campus & Office Management
- Supervise Administrative & Facilities Coordinator, Bookkeeper, and Campus Manager including assigning workload, delegating tasks, and ensuring tasks are completed.
- Ensures smooth functioning of the business of the church and campus
- Greets visitors, answers the phone, ensures answering machine is updated for special events
- Works with Administrative & Facilities Coordinator to maintain church calendar
- Manages calendar and appointments of Senior Pastor
- Oversees cashflow and makes timely transfers from the Endowment when needed.
- Oversee outside contractors and campus activities
- Purchase, management, and maintenance of Worship & Office Supplies
- Support church and employees with computer and office equipment hardware and software updates, ensuring timely coordination, system functionality, and adherence to security protocols.
HR and Payroll Management
Manage and process semi-monthly payrollHandle employee communications and questions around benefits changes, annual increases, handbook adherence.Manage onboarding and offboarding of employees.Track and manage employee benefits, workers compensation claims, and leaves of absence.Administer 403b plan for lay employees and clergy pension, Pay PBUCC and submit 403b contributionsHandles insurance renewals including health, property, auto, and workers' compensation.Communications
Ensure timely review, preparation, printing, and distribution of the weekly Order of Service for Sunday worship and special services (including weddings, baptisms, and funerals), with full oversight to ensure completion and accuracy.Work with Administrative & Facilities Coordinator to generate weekly eBlast in MailChimpSend Coffee Hour Host Reminder, Welcome to Worship emails, and create weekly announcements for online and in-person services.Provides necessary materials for seasonal worship events (Ash Wednesday, Holy Week, Easter, Advent, Christmas Eve)Notify congregation of deaths (with family approval)Operations & Logistics
Weekly bank deposit and post office tripOpen and sort mail; route bills to appropriate inboxesMaintain RSVP lists for eventsItemize credit card statements (Visa, AmEx) for BookkeeperDownload and file monthly financial statements (Vanguard, Fidelity)Committee Support
Assist in the coordination, planning, and execution of events and activities that support and advance the work of church committees.Provide staff support for Les Beaux art gallery.Perform administrative responsibilities of Round Hill Cemetery.Support Finance team with budget input and financial reportingProvide staff support for all teams and committees involved in the development of the RHCC campus.Provide support with all church communications including publicity materials and website updatesProvide support to the executive committee with Annual Report design and printingProvide support to the giving program by sending campaign mailings, providing stock gift instructions, logging gifts / sending thank-you letters, tracking pledges, and sending weekly updates, track memorial donations and send thank-you letters.WHAT YOU NEED :
Associate degree in business, office management, or a related field preferred.Minimum of 5 years of office or administrative experience; not-for-profit experience preferredStrong communication skills, work ethic, and interpersonal effectiveness that foster a collaborative, high-performing environmentCreative problem-solver who can generate ideas, manage multiple tasks, and work well under pressureWarm, outgoing demeanor with the ability to set and maintain professional boundariesHigh level of discretion in handling confidential and sensitive informationCommitment to representing the church community with integrity and professionalismProficiency in Microsoft Word, Excel, and email platformsBasic working knowledge of QuickBooks (e.g., cutting checks, researching payments)Familiarity with Adobe InDesign and Photoshop (training available).Knowledge of equipment and basic building operations to ensure emergency preparednessWillingness to learn Church Windows database system (training provided)Proficient in managing modern technology tools, including AI applications, along with standard office equipment and basic building operations to ensure emergency preparednessAbout Round Hill Community Church : RHCC is an interfaith, Christian church located in Greenwich, CT.
