Description : Delivers comprehensive region‑wide operational and administrative support to ensure efficient office operations and coordinated program delivery across multiple divisions. Serves as the central point for communications, records, timekeeping, and cross‑division coordination.
Duties and Responsibilities :
- Visitor & Communication Management : Screen calls / visitors for senior leadership; independently handle routine information requests and route issues requiring leadership attention.
- Cross‑Division Coordination : Gather information from supervisors and staff to resolve complex inquiries; liaise with other FPS regions for supplemental support.
- Records & Correspondence Control : Establish and maintain correspondence control systems; distribute and track incoming mail; maintain accurate logs.
- Document Production : Create, edit, and format correspondence, reports, and presentations using Microsoft Office (Word, Excel, PowerPoint).
- Service Request Processing : Receive, review, and route partner / customer agency service requests for action; ensure completeness and clarity of requests (examples tailored to program needs).
- Timekeeping & Budget Oversight : Serve as designated Timekeeper; validate time and attendance, coordinate corrections, and track overtime for budget monitoring.
- Executive Visit Support : Assist visiting officials with calls, scheduling, and administrative logistics.
Minimum Qualifications :
Bachelor's degree.2+ years of progressively responsible administrative experience supporting multi‑leader or multi‑division operations.Demonstrated proficiency in Microsoft Office; strong organization, discretion, and stakeholder communication skills.Must be a United States citizen.
