Registrar

Reporting to the Associate Dean for Student Affairs, the Registrar is a key, strategic position, responsible for course registration, maintenance of student records, examinations, and degree certification functions for the Law School and overseeing the day-to-day operations of the Registrar's Office, including managing a team of three staff members.

The Registrar is responsible for creating and implementing academic policies and regulations regarding enrollment, class scheduling, examinations, grade reporting, and graduation for the Law School's degree programs. You will be successful in this role if you are a data-driven person who values detail and answering questions with accurate data, and if you see yourself as a technology leader in the Registrar space. The successful candidate must maintain a high degree of confidentiality at all times in accordance with University policy and state and federal laws.

Specific duties include : maintaining student records, including implementing updates to the Law School records portion of the University's PeopleSoft database system or whatever future database system is in use; ensuring that SLS student records are accurate on Stanford's MAP system so it is usable as a graduation audit; preparing reports on student data; overseeing the preparation of registration materials and the registration process, coordinating and overseeing the conduct of examinations, and the processing of grades; monitoring degree progress; certifying students for graduation and for bar examinations; working closely with the Office of Student Affairs to ensure appropriate academic accommodations for students with disabilities; and coordinating with University offices on various issues related to the Registrar's office.

Policy Development / Technology Innovation

  • Actively participate with senior Law School leadership on the development of academic policy.
  • Serve as a key policy administrator; design policies and establish procedures to ensure compliance.
  • Work with the Associate Dean of Student Affairs to ensure that academic policies continue to comply with ABA Standards.
  • Keep abreast of AI and technology trends and innovations and implement state-of-the-art technology, practices, and procedures in coordination with the Office of the University Registrar and senior Law School leadership; serve as the primary point of contact with vendors.
  • Lead development of business practices, technology and other changes that may improve workflow and functionality, analyze current and future system needs.
  • Act as a liaison between the Office of the University Registrar, ITSS (Information Technology Systems & Services) and the Law School to implement data system changes.

Data Systems Management and Reporting

  • Develop appropriate recommendations for the implementation and maintenance of technology applications, and identify, negotiate and manage relationships with outside vendors.
  • Test all PeopleSoft upgrades / enhancements and patches (or whatever future system may be used by the University).
  • Evaluate database system and develop procedures to support database changes and upgrades.
  • Develop and maintain systems production calendar.
  • Create ad hoc reports in Brio Query and analyze reporting needs and develop improvements and reports as needed to support the Registrar's Office and other offices within the Law School.
  • Produce reliable, usable data for your clients that is easily understood and does not need further manipulation for use.
  • Be innovative in the ways your office collects, organizes, and utilizes data.
  • Identify and resolve unique situations related to the PeopleSoft system and the Law School; including reporting and troubleshooting problems; perform data clean-up tasks.
  • Maintain quality assurance practices and procedures to ensure accurate, reliable, and timely reports.
  • Monitor academic data in PeopleSoft and collect data for development of academic policy.
  • Supervise law student data in PeopleSoft, Axess, ReportMart (Brio) and Law School database and assist in training staff members in use of these database systems.
  • Oversee and work with staff to maintain the Office of the Law School Registrar website.
  • Work with University staff to maintain online processes for submission of papers, petitions, and exams.
  • Work with the Office of the University Registrar to develop new procedures and reports as needed to better serve the Law School and the University.
  • Collaborate with Associate Dean of Admissions to prepare annual ABA reports with all necessary datapoints.
  • Academic Progress / Leave of Absence / Reinstatement

  • Monitor academic progress of students in all of the Law School's degree programs, perform degree audits, external credit evaluation and degree conferral; assist at graduation ceremonies.
  • Coordinate with main campus to ensure that MAP accurately reflects a student's academic progress.
  • Advise students on joint and cooperative degrees and prepare petitions for review by the Interdisciplinary / Joint Degrees Chair; act as a liaison with other departments regarding Joint degrees.
  • Work closely with International Programs Coordinator to track advanced degree students and maintain student adviser information, including monitoring JSD milestones.
  • Advise and meet with students on academic progress.
  • Prepare leave of absence petitions and applications for reinstatement for review by Associate Dean of Student Affairs; communicate leave of absence decisions to students; track student population.
  • Course Maintenance and Enrollment

  • Supervise building of course catalog and class schedule data in PeopleSoft and Law School database for academic year; coordinate with Associate Dean of Curriculum, Associate Dean of Student Affairs, Academic Affairs Officer.
  • Lead / support work to implement the use of CourseDog at the Law School for course scheduling purposes.
  • Effectively evaluate course information with Associate Registrar to guarantee that correct scheduling policies and procedures are met.
  • Review course data prior to distribution and oversee distribution of course data to students, faculty, and staff. Serve as primary advisor to faculty about course enrollment issues.
  • Maintain complete and accurate student records, including transcripts and grades, protecting confidentiality.
  • Ensure that course registration process meets University and Law School guidelines.
  • Run special enrollment processes such lottery courses or 1L discussion seminars.
  • Oversee and assist with exam process.
  • Monitor student academic levels.
  • Set academic deadlines and submit academic calendar and session / term dates to the Office of the University Registrar.
  • Customer Service

  • Advise Associate Dean for Student Affairs and Vice Dean in development of academic policy.
  • Understand and communicate complex Law School and University policies, procedures and regulations to students, faculty, and staff; provide information about the University and Law School to the general public.
  • Serve as liaison and establish positive relationships with all Law School offices, the office of the University Registrar, and other graduate programs to coordinate business processes and promote sharing of information.
  • Proactively prepare and distribute memos to faculty, staff, and students regarding policies, practices.
  • Responsible for ensuring the integrity and confidentiality of student academic records pursuant to FERPA and University academic policy.
  • Achieve and maintain client satisfaction through excellent customer service.
  • Supervision

  • Define overall objectives and priorities for the office by providing strategy, vision and direction regarding key functions; recruit, hire, train, supervise, counsel and evaluate staff.
  • Schedule and manage the general office procedures and day-to-day operations.
  • Establish and maintain standards to meet the mission of the Law School and promote strong client advocacy.
  • Ensure staff training and development.
  • Job Qualifications :

    Bachelor's degree and seven years of relevant experience or combination of education and relevant experience.

  • Demonstrated skills in managing and developing staff.
  • Advanced understanding of higher education administration and operations of the Registrar's Office.
  • Advanced skills in analysis and development of complex business processes and ability to translate to solutions.
  • Ability to interpret and explain complex academic policies and procedures.
  • Expert communications skills, both oral and written.
  • Expert problem solving and customer service skills.
  • Excellent organizational, analytical, counseling, and interpersonal skills.
  • Demonstrated ability to work effectively under pressure, meet deadlines, be flexible, and exercise sound judgment and discretion.
  • High level of computer proficiency, including knowledge of PeopleSoft / Axess database systems, Microsoft Excel and Word, with familiarity with reporting tools such as Brio preferred. Willingness and ability to learn new systems as required.
  • Physical Requirements :

  • Frequently perform desk based computer tasks, seated work and use light / fine grasping.
  • Occasionally lift, carry, push pull objects that weigh up to 10 pounds.
