Office Manager

We are looking for an experienced and organized Office Manager to join our team in New York, New York. This is a long-term contract position offering an opportunity to oversee daily office operations and ensure an efficient and welcoming work environment. The ideal candidate will have a proactive approach and a strong ability to manage multiple responsibilities effectively.

Responsibilities

  • Oversee the management of office supplies, inventory, and vendor relationships, ensuring timely procurement and replenishment.
  • Maintain coffee and snack stations to create a welcoming and consistent environment for team members.
  • Coordinate logistics for meetings, including preparing rooms, agendas, materials, and documenting key notes.
  • Facilitate onboarding processes for new employees by preparing materials, requesting system access, and ensuring a smooth integration.
  • Process invoices, expense reports, and assist with financial entries in collaboration with the finance department.
  • Organize company events and team-building activities to enhance employee engagement.
  • Ensure the office remains clean, safe, and properly maintained, addressing facility needs as required.
  • Handle sensitive and confidential information with utmost discretion and professionalism.
  • Provide administrative support to executive teams and other departments, including scheduling meetings and managing calendars.
  • Manage travel arrangements and coordinate itineraries for staff when needed.

Requirements

  • Bachelor's degree or equivalent administrative certification is preferred.
  • A minimum of 2 years of experience in administrative or office management roles.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with general office technology.
  • Outstanding organizational skills and a keen attention to detail.
  • Strong written and verbal communication abilities.
  • Capability to prioritize tasks effectively and excel in a fast-paced environment.
  • A customer-oriented approach with a detail-oriented and positive attitude.
  • Ability to work both independently and collaboratively as part of a team.
