SUMMARY OF OPPORTUNITY :
The Administrative Assistant in the Foodservice Department Central Office provides substantial levels of clerical support to various Foodservice Management Staff. Performs functions requiring knowledge of adherence to IPS and Foodservice Department policies and procedures. Communicates primarily with Foodservice Central Office staff and school managers. Completes documents and reports requiring detailed Accuracy.
WHAT YOU'LL DO :

Core Duties and Responsibilities
RECEPTIONIST DUTIES
Receives and screens incoming calls and forwards to the appropriate staff.
Operates security system for gates and doors according to current security practices, greets and checks in visitors.
Schedules meeting and conference rooms and maintains department calendar.
Receives telephone calls from or notification about all absent foodservice employees and reports absences to the appropriate management staff.
Assigns substitute and special assignment managers daily to either absent, vacant, or schools requiring additional assistance.
ACCOUNTS PAYABLE
GENERAL OFFICE DUTIES
Serves as contact with the dairy vendor to report order adjustments and delivery problems.
Assists with end of month processes and reports.
Assists with payroll as assigned.
Utilizes spreadsheets, documents, and software to compile, enter and verify data.
Maintains inventory of office supplies.
All other office duties as assigned, including substituting as a foodservice manager in schools on an emergency basis.

WHAT YOU'LL BRING : SKILLS AND MINDSETS
As an ideal candidate for this role, you will be able to achieve the following :
LANGUAGE SKILLS
Ability to read and comprehend documents, instructions, policies, procedures, and correspondence. Ability to write memos and other forms of simple correspondence.
MATHEMATICAL SKILLS
Ability to calculate figures, percentages, fractions, and proportions.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form and ability to deal with problems involving several concrete variables in standardized situations.
COMPUTER SKILLS
Expertise in word processing, Excel spreadsheets, payroll and financial systems, and data entry.
EDUCATION, CERTIFICATION, AND LICENSURE REQUIREMENTS :
High school diploma, or GED, and three to five year of related experience. Working knowledge of IPS foodservice operation practices preferred.
