Appointment Scheduler
Medical facility is needing an Appointment Scheduler. Under the direct supervision of the Dispatch Supervisor, the Appointment Scheduler (Scheduling) is responsible for the complex daily scheduling of diagnostic and subspecialty appointments in a manner that is fully integrated with day center operations.
Responsibilities :
- Schedules and reschedules all routine and non-routine appointments, diagnostic, imaging, procedures and surgeries consistent with the participants' diagnosis and procedure request / physician's order.
- Schedules office and hospital based medical procedures for participants with appropriate provider, time / location slot utilizing automated scheduling system.
- Enters notes / special instructions needed for scheduling in the electronic medical record.
- Adheres to regulations regarding participant confidential information and HIPAA.
- Provides accurate, detailed information to the clinic staff regarding test preparations and any other directional information needs.
- Communicates with clinic the need for prior authorization as needed.
- Obtains proper medical clearance and pre-surgical testing as needed.
- Completes pre-procedure phone calls and confirms appointment times via telephone.
- Ensures that appointments are scheduled based on urgency, and that all physician orders are scheduled prior to the due date.
- Responsible for double checking the physician order to ensure the Specialist's name and the specialty is the correct one.
- Maintains current automated scheduling system(s) to create participant appointment matrix, list of unscheduled orders, scheduled appointments, reschedules and completed appointments.
Qualifications / Requirements :
High School Diploma or GED.One to two years of medical clinic administrative or medical scheduling experience preferred.Educated on and compliant with HIPAA regulations; maintains strict confidentiality of patient and client information.Experience and proficiency with use of computer and various Windows applications.Must have knowledge of English grammar and spelling.Bilingual preferred (English / Spanish).Knowledge, Skills, and Abilities :
Ability to understand medical / surgical terminology.Responsible, self-directed but able to accept supervision and constructive criticism in an appropriate manner.Fast and accurate typing skills.Call center experience or appointment setting experience is required.Working hours are 7am to 4pm. Pay range $13.42 to $16.77 depending on experience. Position is long term and could become full time with the company.
