Role Overview : IP Legal Support Specialist (Patent Focus)

This position supports a high-performing legal team in a major law hub, specializing in intellectual property — particularly patent prosecution. The role is onsite and full-time, providing direct assistance to attorneys across a range of administrative and legal tasks.

Core Functions

  • Patent Application Management : Handle the preparation and electronic submission of U.S. and international patent filings, including formal documents and responses. Familiarity with government portals and filing systems is essential.
  • Attorney Support : Draft client communications, manage legal documentation, and maintain organized digital files. You’ll be the go-to for coordinating deadlines and ensuring attorneys stay ahead of docketing requirements.
  • Billing & Timekeeping : Assist with time entry, invoice edits, and monthly billing cycles. Accuracy and discretion are key.
  • Administrative Backbone : Manage calendars, travel logistics, expense reports, and meeting coordination. You’ll be central to keeping operations smooth and efficient.

Ideal Candidate Profile

  • Experience : Minimum of five years in a legal secretary role, with strong exposure to patent prosecution workflows.
  • Technical Skills : Proficiency in Microsoft Office and document management platforms. Comfort with USPTO systems and electronic filing tools.
  • Soft Skills : Highly organized, detail-oriented, and proactive. Strong written and verbal communication is a must.
  • Education : High school diploma required; college coursework or degree preferred.
