Provides Clerical duties including scheduling, referral review, and communication between referring Provider and Therapists regarding establishment and continuation of patient care. Assists with scheduling duties as trained for any Providers utilizing same office space as Rehabilitation clinic
Essential Duties :
This job description is intended to cover the minimum essential duties assigned on a regular basis. Caregivers may be asked to perform additional duties as assigned by their leader. Leadership has the right to alter or modify the duties of the position.
- Interviews patients to determine appropriate Therapist for scheduling.
- Reaches out to referring Providers to change / adjust orders based on patient needs and specialized skills of Therapist.
- Communicates information verbally and then documents within EPIC in clear and concise manner to assist with ongoing communication between Caregivers in the clinic and outside the clinic
- Assists with managing Therapist schedules to meet needs within the clinic and at the hospital. Assists leadership with identifying concerns / potential scheduling issues as they arise.
- Answers questions and directs patient to appropriate contacts within Sparrow for questions related to billing / copays
- Accepts patient payments and enters information correctly into system
- Handles confidential information and maintains HIPPA compliance.
- Performs all other secretarial duties as assigned
- Manages waitlist appropriately to decrease time lost to cancellations and increase efficiency of department
- Answer all incoming, outgoing, and inter-hospital phone calls using AIDET. Relays information to proper party, takes messages, contacts necessary person, and answers inquiries.
- Manages work queues for incoming orders and current patients identifying when patients need additional authorization
- Creates FOTO episodes (Outcomes Measurement) for the Therapists with appropriate designations.
- Once patient is discharged, closes out referral and FOTO to complete episode of care
- Communicates with Therapists regarding any questions they may have related to scheduling needs. Assists with identifying patients who need follow up by their Therapist.
- Assure that scheduled appointments match referral information within EPIC
- Monitor supplies and order as needed
- Organizing area and tidying clinic as needed
- Temperature checks / safety checks of equipment / cleaning equipment as assigned
- Assist during medical emergency situations to contact EMS and direct other patients in clinic as needed.
- Process patient orders via EPIC.
- Maintains patient medical records
- Performs other duties as assigned
Job Requirements
Current certification in basic life support / CPR. Certified Medical Assistant preferred
Previous experience in a physician health care office or similar setting.
High School Diploma or GED Successful completion of a Medical Assistant program.
Demonstrated knowledge of computers / technology, multi-line phones, insurance, and medical terminology Excellent verbal and communication skills. Excellent verbal and written communication skills required evidenced by good use and understanding of the English language and the ability to receive and impart accurate information. Human relation skills to use tact and diplomacy in contacts with employees and public. Ability to operate standard office equipment including fax, copier, scanner, and computer in an efficient manner. Experience with EPIC preferred
