Technical / Operations Administrative Assistant
The Technical / Operations Administrative Assistant reports to the Technical Manager and provides clerical and administrative support to both the plant's Technical and Operations departments. He or she will be required to interact with employees at various levels of the organization in support of established Focus Areas, processes, and procedures. The successful candidate must exhibit strong written and verbal communications skills, be a skilled computer software end-user, and be able to deal professionally with employee sensitive issues.
Key Job Responsibilities :
- Actively support Health, Environment, and Safety related processes by accomplishing daily activities within applicable regulations and policies, carrying out duties following safe operating practices, maintaining a safe working environment, and being prepared to respond to an environmental or safety event.
- Monitor, format, and send notifications of upcoming and expired actions items to team leads and employees.
- Prepare accurate and timely reports, presentations, and other working documents.
- Coordinate and support efforts to ensure effective document management.
- Learning Management System (LMS) administrative support.
- SharePoint site administrative support.
- Process good receipts for Chemical expenses within SAP & SAP interfaces (i.e. MII).
- Coordinate travel arrangements, itineraries, and preparations for site visitors.
- Schedule meetings and events.
- Maintain departmental calendars, filing systems, and distribution lists.
- Ability to back-up other desks / employee responsibilities as requested.
- Maintain a degree of confidentiality and display a high level of professionalism in interactions with others.
- Manage & process expense reports, invoices, etc.
Required Qualifications :
High school diploma or equivalent.Valid Driver's License.Proficiency in Microsoft Office Suite and knowledge of Microsoft Teams.Strong organizational, interpersonal and multitasking skills.Demonstrated ability to communicate effectively (written and verbal) at all levels of the organization - Communicates in a clear, concise, and effective manner with internal and external customers.Ability to problem solve and use good judgement in making decisions.Preferred Qualifications :
Proven experience in administrative support roles (2+ years minimum).Admin experience in an industrial, manufacturing, or petrochemical environment.Highly motivated with the demonstrated ability to work well, both independently and with minimal supervision in a team environment.Experience in developing new processes, updating technical records, and managing digital management tools.Experienced in training development, facilitation, and delivery.Experience with SharePoint and Power BI systems.Demonstrated commitment to Chevron Way behaviors, including integrity, trust, diversity, partnership, and high performance.Relocation Options :
