POSITION SUMMARY :
The Data Entry Specialist plays a critical role in maintaining the accuracy, integrity, and confidentiality of clinical and patient data within the organization. This position is responsible for accurately entering, verifying, and updating health-related information in electronic health record (EHR) systems, research databases, or other clinical information systems. The ideal candidate will have strong attention to detail, excellent organizational skills, and a commitment to supporting high-quality patient care through precise data management.
ESSENTIAL DUTIES AND RESPONSIBILITIES :
- Accurately enter and update patient demographics, clinical data, and treatment information into EHR system.
- Compile, verify accuracy and sort information to prepare STD and PrEP data for entry into DHSP REDCap database.
- Review source documents for completeness and accuracy before data entry.
- Collaborate with clinical staff and administrative teams to obtain missing or unclear information.
- Perform regular data verification and quality control checks to identify and correct errors or inconsistencies.
- Review patient charts to determine if they meet eligibility criteria to be entered into the PrEP database. Maintain PrEP database.
- Maintain confidentiality and adhere to HIPAA and organizational data security policies.
- Generate data reports and summaries as requested by clinicians or supervisors.
- Assist in maintaining data entry procedures and documentation for compliance and audit readiness.
- Participate in staff meetings and training related to data systems, compliance, and process improvement.
OTHER DUTIES MAY BE ASSIGNED TO MEET BUSINESS NEEDS.
REQUIREMENTS :
Training and Experience :
High school diploma or equivalent (GED).Minimum of 1 year of data entry, medical records, or administrative experience in a healthcare or clinical environment.Proficiency with Microsoft Office (Word, Excel, etc.) and experience using EHR systems (eClinicalWorks preferred).Strong typing skills with a high degree of accuracy and attention to detail.Basic understanding of databases.Experience entering data into a database.Knowledge of :
Electronic health records and data reporting.Knowledge of basic medical terminology and familiarity with HIPAA regulations.Knowledge of STD and PrEP / PEP.Ability to :
Communicate effectively with providers, other staff, and outside vendors. Must be well-organized and detail-oriented.Strong analytical and written communication skills in order to prepare complete and accurate program reports and records.Ability to organize workload or processes.Enter data in a timely manner with minimal errors in a high-volume environment.Maintain patient confidentiality.WORKING CONDITIONS / PHYSICAL REQUIREMENTS :
This is primarily an office position that requires only occasional bending, reaching, stooping, lifting and moving of office materials weighing 25 pounds or less. The position requires daily use of a personal computer and requires entering, viewing, and revising text and graphics on the computer terminal and on paper.
SPECIAL REQUIREMENTS :
Must possess a valid California driver's license; proof of auto liability insurance; and have the use of a personal vehicle for work related purposes.
