Overview

McGuireWoods LLP has an opening for a Practice Assistant/Legal Secretary to join a Litigation team in our Baltimore, MD office. The Practice Assistant will support 4 attorneys with administrative tasks which include court filings, billing, managing time entry, travel coordination and calendar management. The ideal candidate will have one to two years of litigation experience, strong administrative and organizational skills, and be comfortable working with technology.

Responsibilities

  • Manage documents: upload documents to e-rooms and the DMS; scan, save to DMS and distribute matter-related hard copy correspondence, court and agency filings; maintain pleading and document indices when appropriate.
  • Make travel arrangements as required.
  • Enter attorneys' time into time management system as requested.
  • Communicate with clients, vendors, courts, agencies and firm personnel in a professional manner via telephone, email and in person.
  • Participate as part of a team of Practice Assistants providing coverage and/or backup coverage as needed.
  • Interact with clients; manage daily work-flow for assigned attorneys; manage attorney phone and email communication and serve as primary point of contact for attorneys’ clients and matters.
  • Identify opportunities to improve processes (e.g. via technology, better workflow, etc.) in ways that help attorneys focus more on servicing the client and less on administrative tasks.

Qualifications

  • Requires high school diploma or GED and a minimum of one to two years related experience and/or training; or equivalent combination of education and experience; experience with litigation is preferred.
  • Preferred experience in e-filing, time entry and billing software (Elite), and expense reimbursement software (ChromeRiver), but not required.
  • Strong aptitude for technology and learning new systems.
  • Excellent communication and proofreading skills.
  • Strong time management and organizational skills.
  • Ability to think clearly, react positively and evaluate situations to determine appropriate action and act decisively under pressure.
  • Ability to proactively identify opportunities to assist team and those the team supports.
  • Must be highly organized and a self-starter.
