Duties & Responsibilities Under the direction of the Director, Deputy Director and Assistant Director of Medical Records, the Medical Records Coordinator is responsible for tasks and responsibilities detailed below. In addition, this position will support the Deputy Director of Medical Records on projects and duties, as assigned, with administrative work of varying degrees of difficulty and with varying degrees of latitude for independent initiative.
General tasks and responsibilities will include:
- Coordinate requests for medical records, including court subpoenas and requests from Federal, State and local regulatory and legal entities. Follow up on all requests and ensure timely response on all requests for medical records.
- Scanning and preserving paper documentation into electronic records.
- Process and track requests for patient records received from clinical service teams, submit to external healthcare facilities, and follow up with external facilities.
- Coordinate requests for transfers to NYS facilities and ensure required documentation is completed and forwarded to State facilities.
- To ensure appropriate coverage, the Medical Records Coordinating Manager may work in any Rikers Island facility, including administrative trailers and jail facility clinics.
- Maintain and ensure the medical records database is updated and accurate. Assist with the implementation of quality assurance processes to ensure the accuracy and integrity of the data.
- Run daily reports for various processes in multiple systems and software, and use and search various systems used by CHS and NYC Department of Correction.
- Perform redactions of medical records.
- Knowledge of HIPAA regulations.
- Correspondence with outside Jurisdictions to assist with Medical portions of the extradition process
- Retrieval of Hospital returns and ensuring they are entered into the Medical record.
- Carry out clerical duties, as assigned, including but not limited to:
- Assist in coordinating the administrative and office operations, including maintaining supplies.
- Participate on project team meetings to achieve team goals.
- Support the medical records team and performs other duties as assigned.
Minimum Qualifications 1. A four-year high school diploma or its educational equivalent and four (4) years of satisfactory full-time experience providing direct counseling, guidance, crisis-intervention or information and referral services for inmates of a correctional facility, substance abusers or a similar client population; or
2. Education and experience equivalent to "1" above. Thirty (30) semester credits from an accredited college will be considered equivalent to one (1) year of the required experience. However, all candidates must have a four-year high school diploma or its educational equivalent and at least one (1) year of experience as described in "1" above.
Department Preferences - Baccalaureate degree from an accredited college or university.
- Strong knowledge of Excel and Word.
- Good knowledge of medical terminology.
- Strong interpersonal and communication skills.
- Ability to work on multiple projects concurrently.
