Join a vibrant international research community at Stanford! The Scandinavian Consortium for Organizational Research (SCANCOR) at Stanford University is seeking a detail-oriented and service-driven Program Coordinator to support visiting scholars, postdoctoral fellows, and guests from around the world. In this highly collaborative position, you’ll help organize academic seminars and events, coordinate scholar onboarding, maintain program communications, and ensure the smooth day-to-day operations of a welcoming intellectual hub. Note : This is a 1-year fixed term position that may be renewed subject to funding and operational need. This position is based on Stanford’s main campus and will be eligible for a hybrid work arrangement (minimum 3 days in the office per week). Housed in the Stanford Graduate School of Education since 1989 and with locations at Harvard and in Scandinavia, the network places a special (though not exclusive) focus on research dedicated to understanding organizations and organizing related to education and more broadly to collective good. Through seminars, events, and community-building activities, SCANCOR provides a supportive intellectual environment where scholars can bridge across geographic and academic boundaries to connect, exchange ideas, and contribute to ongoing research conversations.

POSITION SUMMARY

The Program Coordinator supports the smooth operation of SCANCOR’s academic programs by managing routine logistics, coordinating communications, assisting with seminars and events, and helping maintain an organized, welcoming office environment. Working under general supervision and in close collaboration with faculty directors and campus partners, the Coordinator plays an essential administrative role that ensures visiting scholars, postdoctoral fellows, and guests have a positive, well-supported experience at SCANCOR.

CORE DUTIES :

  • Program Administration & Scholar Support
  • Organize application materials for visiting scholars and postdoctoral fellows; maintain records and prepare documents for faculty review.

  • Coordinate onboarding logistics such as scheduling orientations, preparing welcome materials, and sharing standardized information about campus resources.
  • Maintain scholar profiles and program documentation; update program guides and routine materials under the direction of program leads.
  • Assist with routine inquiries from scholars and visitors regarding campus services, office procedures, and program activities.
  • Seminar & Event Coordination

    Support weekly seminars and scholar events by reserving rooms, updating calendars, sending communications, preparing materials, and coordinating light hospitality.

  • Assist with planning small receptions, periodic gatherings, and program workshops by preparing materials, processing RSVPs, and arranging catering and supplies.
  • Maintain event-related email lists and help prepare event announcements and reminders.
  • Administrative & Financial Processing
  • Process reimbursements, PCard transactions, visitor payments, and event expenses in accordance with university policies.

  • Track expenditures using established tools; reconcile accounts and prepare summary updates for faculty directors or program leads.
  • Collect basic financial data to support budget preparation.

  • Website & Communications Support
  • Update SCANCOR’s website with routine information, including profiles, seminar dates, and announcements.

  • Assist with drafting and distributing program communications, such as informational emails, flyers, and event updates.
  • Maintain organized digital files and shared records for program operations.
  • Board Meeting & Program Support
  • Assist with preparation for SCANCOR’s biannual board meetings by assembling documents, managing attendance lists, reserving rooms, and supporting onsite logistics.

  • Take notes or prepare draft summaries as assigned.
  • Office Operations
  • Help maintain SCANCOR’s office space, including supplies, shared areas, and equipment.

  • Submit facilities or IT requests as needed.
  • Serve as a welcoming administrative contact for scholars and visitors
  • MINIMUM REQUIREMENTS

    Education & Experience :

    Bachelor’s degree and three years of relevant experience, or combination of education, training, and relevant experience.

    Knowledge, Skills, and Abilities

  • Demonstrated service or hospitality orientation or experience.
  • Demonstrated ability to prioritize own work and multi-task.
  • Demonstrated excellent organizational skills.
  • Demonstrated ability to take initiative and ownership of projects.
  • Ability to communicate effectively both orally and in writing.
  • Ability to routinely and independently exercise sound judgment in making decisions.
  • Demonstrated experience working independently and as part of a team.
  • Relevant computer systems / technology experience.
  • Preferred Qualifications

  • Graduate degree in a social science discipline and / or 3+ years of relevant experience in higher education administration; interest in organizational research and / or Scandinavia.
  • Experience coordinating events, seminars, or academic programs.
  • Basic knowledge of managing budgets and developing project plans.
  • Ability to contribute positively to a small team environment centered on hospitality and community building, wearing many hats and pitching in when needed.
  • WORKING CONDITIONS

  • May be required to work non-standard, extended or weekend hours in support of research work.
  • Occasional domestic and international travel.
  • PHYSICAL REQUIREMENTS :

  • Constantly perform desk-based computer tasks.
  • Frequently stand / walk, sitting, grasp lightly / fine manipulations.
  • Rarely lift / carry / push / pull objects that weigh 11-20 pounds.

  • The expected pay range for this position is $100,023 - $110,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
