POSITION PURPOSE: LIM College is seeking a dynamic Associate Director of Online Admissions. This role will report to the VP of Online Learning to scale online enrollments across undergraduate and graduate programs. The Associate Director of Online Admissions is responsible for driving and meeting or exceeding all budgeted start goals and expectations. They oversee the very front end of Online Student Financial Services, Online Registrar, and Online Student Services. They also will provide leadership, hiring, training, coaching and operational services to the LIM College Online Admissions Counselor. They will also provide leadership with strategic recruitment efforts of online programs.
SALARY RANGE: $84,500 - $87,000/Annually
ESSENTIAL FUNCTIONS AND BASIC DUTIES Recruitment
- Maintain a caseload of students and recruit/contact, engage, and follow up with prospective students and applicants to achieve enrollment goals
- Deliver a comprehensive suite of recruitment services to ensure a high-quality experience for students.
- Adhere to admissions policies and procedures
- Work across the College and facilitate timely processing of the status of their admission documentation, including ensuring the communication guidance on financial aid requirements, regulations, loan availability & application, packaging, internal payment plans and required paperwork.
- Collect, audit and ensure all Admissions documents, forms, credentials and requirements are accurately and timely collected, processed, recorded and filed, in accordance to internal policies and standards.
- Make decisions on completed Online Student applications
- Oversee department’s quality and customer service by monitoring phone calls and emails to/from students, the quality of the conversations, response time, call volume, student surveys and other sources of feedback. Ensure consistency of quality of service between the Office of Admissions and Online Admissions.
- Coordinate and facilitate periodic departmental training programs procuring the Online Admissions Counselor is fully knowledgeable and up to date on the processes they conduct and the information they deliver to the students.
- Ensure the intake of institutional forms, both paper and electronic, to online students
- Adhere to LIM College’s financial policies and procedures
- Collaborate with Online Advisors to ensure accurate information is shared with online students
- Maintain student records and enrollment statuses via Slate during the enrollment process
- Oversee the notification to online students of missing information or documentation related to financial clearance. Communicate with Student Financial Services regarding Online student financial clearance
- Identify and achieve goals and targets for increasing and sustaining enrollment of targeted online programs through outreach campaigns, one-on-one follow-up with prospective students, developing strategic relationships with schools, communities, and organizations
- Identify and communicate growth and development opportunities and respond to emerging issues
- Liaison with internal and external offices and departments that enter in the recruitment process
- Stay abreast of current best practices on student recruitment
- Contact, recruit, and enroll students
- Monitor College policies, accreditation directives and State/Federal regulations governing or affecting the enrollment process and implements necessary changes to ensure compliance.
- Maintain student appointment calendar and interviews prospective graduate students
- Conduct a file record analysis of all enrolled students at intake.
- Collaborate with members of the team to develop budgets and models to forecast future performance.
- Analyze key performance indicators, department budget, operational trends and other areas of focus
- Drive and hold Online Admissions team accountable to hitting and exceeding budgeted performance goals and standards
Data and Analytics
- Stay abreast of trends in online enrollment for undergraduate and graduate and provide actionable plans
- Deliver reports weekly on enrollment and retention.
- Query data to analyze enrollment trends and utilize in decision making
- Create models to forecast future performance.
Leadership
- Lead by example by doing functions of direct reports side-by-side with employees
- Train and develop staff
- Hire, train and supervises student workers
Event Management
- Manage and create recruitment events
- Develop, plan, communicate and execute online student virtual visit events and admitted student events
- Facilitate Virtual Events to increase enrollment and retention
Marketing
- Stay knowledgeable of best practices in enrollment marketing for online student populations
- Support the Office of Marketing and Communications with their enrollment management strategy for the online populations.
All other duties as assigned
REQUIREMENTS: The person selected will have the following qualifications:
Education: - Bachelors Degree Required; Master’s Degree Preferred
Experience: - Minimum 3 years of transferrable experience
- Supervisory experience
- Experience of utilization and implementation of CRM systems
- Experience in recruitment of on ground and online students (graduate and undergraduate) or transferrable experience
- Experience working with diverse populations
- Experience and knowledge of territory recruitment preferred
- Experience planning and executing recruitment events (yield/non-yield) or similar experience
- Knowledge of online education and challenges faced with recruitment of online students (local, nations, and international) preferred
- Marketing Experience preferred
- Experience developing admissions policies and procedures preferred
