Position Summary
The RECEPTIONIST serves as the community's greeter for all guests, families and residents and provides clerical support in accordance with all laws, regulations and company standards.
Working Conditions
- Works primarily at front desk area.
- Sits, stands, bends, lifts, pushes, pulls, stoops, walks, and moves intermittently during working hours.
- Subject to frequent interruptions.
- Works beyond normal working hours, on weekends, and in other positions temporally as necessary.
- May be subject to hostile and emotionally upset residents and families.
Education and Experience
- Must have high school diploma or equivalent.
- Must have clerical experience.
- Must be proficient with Microsoft Application: Especially Word and Excel.
- Must demonstrate proficiency with office machines (i.e., fax, copier).
Specific Requirements
- Must always be neat and presentable and be especially sensitive to uniform requirements.
- Must be able to process calls accurately within appropriate hospitality guidelines (callers not kept on hold, minimal number of rings before answering, etc.)
- Must enjoy serving seniors.
- Must demonstrate excellent customer services and hospitality.
- Must demonstrate trustworthiness and dependability.
- Must work efficiently and effectively with little to no supervision.
- Must demonstrate effectively and have superior verbal communication skills.
- Must be organized.

- Must be able to read, write, speak and understand the English Language.
- Must be able to move intermittently throughout the workday.

- Must assist with evacuation of residents and support residents in times of crisis.
- Must represent community professionally and courteously.

- Must provide efficient clerical support.
General Responsibilities

Greater Duties
- Serves as community's first greeter to all guests, visitors, residents and families entering front lobby.
- Creates and maintains a positive atmosphere of warmth and hospitality.
- Interacts with all individuals professionally and courteously.
- Takes phone messages accurately and completely or offers voicemail. Records caller's name, time of call and nature of business when intended party is unavailable.
- Directs concerns, complaints, suggestions, and maintenance requests from individuals to appropriate manager or department.
- Screens visitors entering the community.
- Determines nature of business calls and routes to appropriate associate.
- Assists with keeping front lobby and workrooms neat, clean, and presentable.
- Closely observes lobby activity and reports unauthorized visitors or concerns.
Administrative Duties.
- Provides accurate, reliable clerical support (i.e. typing, filing, data entry.)
- Directs inquiries and requests from within and outside community to Sales team.
- Receives sorts and distributes mail.
- Receives packages and flowers- contacts concierge or resident for delivery.
- Operates all office machines as needed.
- Maintains lists (i.e. resident directory, associate phone list, associate birthday list etc)
- Oversees resident check-in system
- Provides clerical support as needed.

- Works cooperatively as a team member of the staff.
- Treats residents and visitors with courtesy and respect; makes serving these people a priority.
