The Role :
The Technical Dispatch Coordinator is responsible for overseeing the dispatch and coordination of vendors for onsite services, ensuring technical feasibility, accurate documentation, and compliance with company standards and safety protocols. This role involves managing spare parts procurement, maintaining detailed records in service management systems, and liaising between vendors, internal teams, and stakeholders. The coordinator ensures the smooth execution of vendor assignments by optimizing schedules, resolving issues, and facilitating effective communication. Additionally, the position supports process improvements and adheres to safety protocols while contributing to operational efficiency and company objectives.
Responsibilities :
- Assess incoming dispatch requests to verify technical feasibility and completeness.
- Coordinate the dispatch of vendors for onsite service, ensuring alignment with technical requirements.
- Establish a clear and detailed scope of work before dispatching vendors.
- Optimize vendor schedules to improve efficiency, reduce costs, and meet service deadlines.
- Track project progress for transformer-related work (repair, testing, inspection, swapping, and scrap activities), escalating risks or delays as needed.
- Ensure purchase orders and all respective files include accurate schematics, parts lists, and service history, if applicable.
- Validate that vendor dispatch assignments adhere to engineering standards and safety protocols.
- Ensure all vendor work complies with applicable IEEE, NETA, NEC, and UL standards , as well as internal safety and quality requirements.
- Maintain accurate records in SAP, CRM, and service management systems.
- Assist in managing and updating the field service database, including reports and photos.
- Track spare parts orders, ensuring timely availability for vendor dispatch.
- Collaborate with vendors and engineers on spare parts needs, troubleshooting, and returns.
- Issue Purchase Orders (POs) and Scope of Work Details for vendor services.
- Serve as a liaison between vendors, Field Service, and Engineering teams to ensure smooth operations.
- Provide vendors with clear work instructions and follow up on service completion.
- Verify vendor invoices match services provided and resolve discrepancies.
- Maintain strong working relationships with vendors and internal teams to support operational efficiency and service quality.
- Develop a strong understanding of transformers, technical components, and troubleshooting practices to support informed decision-making.
- Identify recurring service issues and provide recommendations for continuous improvement.
- Work closely with Engineering, Procurement, and Field Service teams to refine vendor processes.
- Anticipate and resolve vendor-related challenges with minimal supervision.
- Collaborate with cross-functional teams to improve workflows and efficiency.
- Adhere to security protocols, training requirements, and company policies.
- Perform other duties as assigned to support company goals.
Education, Licenses, and Certifications :
Bachelor’s or technical degree, or equivalent experience5+ years in a technical-oriented customer service role or 3+ years in a technical fieldPreferred experience in the solar industrySkills and Abilities :
Strong analytical and troubleshooting skills with an eagerness to learn about parts, service workflows, and technical support.Background in vendor coordination, dispatch, or field service operations (renewable energy preferred).Familiarity with SAP, CRM, service management software, and Microsoft Office Suite (Airtable experience is a plus).Excellent verbal and written communication skills with the ability to work cross-functionally and in a team environment.Ability to efficiently manage multiple vendor interactions, concurrent activities, and process spare parts orders with accuracy.Accurately process spare parts orders, including detailed entry of part numbers, descriptions, quantities, and delivery locations.Strong service-oriented mindset toward both internal teams and customers, with the ability to work well under pressure and demonstrate accountability.Ability to take ownership, make decisions, and drive results in a fast-paced environment.Travel :

Compensation commensurate with experienceCompetitive benefits package and employee programsStrong personal and company growth opportunitiesFor candidates in the states of California, Colorado, New York and Washington, the anticipated annual base salary for this role is between $70,000 - $97,000 This range does not include any other compensation components or other benefits that an individual may be eligible for. The base salary offered is dependent upon several factors, including but not limited to job-related skills, qualifications, experience, education, location, or other factors related to the role.
