Administrative Specialist
ProSidian seeks an Administrative Specialist for professional and administrative support services. This is a contract contingent or contract W-2 (IRS-1099) position with potential to convert to a full-time ProSidian employed W-2 position. The role is located CONUS in the United States across the Southeastern Region, supporting the Department of Energy (DOE), Office of Headquarters Procurement Services (MA-64), in collaboration with GSA.
Responsibilities and duties include:
- Providing comprehensive administrative support, including managing correspondence, scheduling, and maintaining documentation procedures.
- Preparing, proofreading, and editing routine documents, letters, and correspondence.
- Maintaining and updating calendars, scheduling meetings, and coordinating travel arrangements.
- Performing basic statistical and budgetary tasks, including data entry and spreadsheet preparation.
- Managing office tracking systems for action items, controlled correspondence, and time/attendance records.
- Operating office equipment (copiers, fax machines, phones) and ensuring smooth day-to-day operations.
- Delivering exceptional customer service, serving as the primary point of contact for general office inquiries.
- Performing additional administrative and secretarial duties as assigned.
Desired qualifications include:
- 13 years of experience in administrative or office support roles, preferably in a professional or government setting.
- High school diploma or equivalent is required.
- Associate's or bachelor's degree in business administration, office management, or a related field is preferred.
Skills required include:
- Proficiency in managing schedules, maintaining records, and coordinating office activities.
- Experience preparing routine correspondence and handling time-sensitive tasks.
- Familiarity with Microsoft Office Products (Word, Excel, PowerPoint, Publisher, & Adobe).
- Excellent oral and written communication skills.
