Office Coordinator / Administrative Assistant

Robert Half is partnering with a well-established professional services firm in downtown Chicago in the Loop to identify a polished and proactive Office Coordinator / Administrative Assistant. This role is ideal for someone who enjoys a client-facing environment and is the go-to person for office operations and administrative support. Monday-Friday Onsite 8 : 30am-5 : 30pm Compensation- $65k-$75k + 10% performance bonus Benefits - Medical, Dental, Vision, PTO, 401k

Reception & Office Coordination

  • Greet visitors and manage front desk operations with professionalism
  • Coordinate conference room scheduling, setup, and breakdown
  • Maintain office and kitchen supplies; ensure workspace cleanliness and functionality
  • Assist with document preparation, scanning, and copying
  • Support internal events and meetings as needed

Administrative Support

  • Provide administrative assistance to multiple team members
  • Manage calendars, schedule meetings, and coordinate travel logistics
  • Prepare expense reports and maintain electronic filing systems
  • Handle sensitive information with discretion
  • Collaborate with peers across locations and assist with special projects
  • Requirements

  • A minimum of three (3)+ years in a receptionist, office coordinator, or administrative capacity.
  • Calendar management and meeting organization experience.
  • Experience organizing and scheduling travel.
  • Strong work ethic, accompanied with a high degree of integrity.
  • Excellent communication skills, strong organizational and interpersonal skills including phone etiquette.
  • Professional appearance and demeanor including adaptability.
  • Meticulous attention to detail, strong multitasking skills and a demonstrated ability to prioritize competing deadlines.
  • Strong proficiency in Microsoft Office suite, particularly Outlook, Teams, and Word.
  • Working proficiency with Excel.
  • Understands and exercises sound and accurate judgment.
