TITLE : SECRETARY TO SUPERVISOR OF STUDENT ENROLLMENT

Administration Building

Monday-Friday

8 hours per day

12 Month Schedule

2025-2026 Salary - $17.16 per hour per RSPA Master Agreement for Classification II

QUALIFICATIONS :

  • High School Diploma with excellent command of the English language.
  • General office experience and experience working in a Customer Relations field required.
  • Experience working comfortably in advanced levels of Microsoft Office

applications required.

  • Proficiency in utilizing Google applications (e.g. Docs Sheets Slides Gmail) is preferred.
  • Experience working with a school district student records software application is preferred. As well as a proven aptitude to learn other software programs that may be used in this position.
  • Ability to maintain a positive professional attitude when interacting with staff and families
  • Ability to handle a multitude of responsibilities with frequent interruptions and minimal supervision.
  • Ability to demonstrate discretion in working with confidential data.
  • Regular reliable and punctual attendance required.
  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
  • REPORTS TO : Supervisor of Student Enrollment

    JOB GOAL : To serve as secretary to the Supervisor of Student Enrollment inclusive of responding positively and efficiently to parent and community inquiries as well as supporting district administrators or outside organizations with data requests.

    PERFORMANCE RESPONSIBILITIES : The performance responsibilities listed below represent an overview of the responsibilities for this position.

  • Serves as one of the most visible and positive public relations advocates for the District by interfacing appropriately with visitors; by providing information about school district operations to community members; by answering questions; relaying messages; and by following through with problem resolution.
  • Serves as Secretary to the Supervisor of Student Enrollment.
  • Conducts district residency verification and research.
  • Processes all student enrollment drops and transfers of all students including all computer data entry.
  • Maintains confidentiality of student enrollment data and police reports.
  • Performs enrollment duties with awareness of all District residency requirements Board of Education policies and State laws.
  • Completes data entry of immunization records for all kindergarten and newly enrolled students. Responsible for semi-annual immunization audits.
  • Assists Supervisor in reviewing individual building audit membership packets.
  • Retrieves transcripts of former high school students and forwards to colleges universities employment agencies and individuals.
  • Maintains accurate files records and enrollment data.
  • Coordinates transportation for homeless students and maintains transportation cost reports.
  • Assists with Student and Exchange Visitor Program reporting and regulations for the US Immigration Department.
  • Assists with compiling data for the annual US Department of Education Civil Rights Data Collection Survey.
  • Assists in preparation of reports and related departmental materials.
  • Orders processes and maintains materials and equipment.
  • Responsible for processing purchase orders including notifying staff of account balance verifying receipt of materials and insuring that P.O.s are completed by business office deadlines.
  • Performs other duties as requested by the Supervisor to Student Enrollment
  • TERMS OF EMPLOYMENT :

  • 12 Month Position
  • 8 hours per day
  • Salary and benefits as per RSPA Master Agreement for Classification II Clerical Positions.
  • WORKING CONDITIONS :

  • An employee working in this assignment will be required to sit for long periods of time and work on a desktop computer.
  • Data entry and record search is a large part of the duties of this position and repetitive hand motion will be required.
