Logistics Supervisor II

The Logistics Supervisor is responsible for overseeing all aspects of shipping and receiving operations, inventory control, logistical planning, and managing the full order cycle. This includes coordinating inbound and outbound shipments, ensuring proper inventory management, and maintaining effective communication between various departments and vendors. The role requires the supervision of staff, optimization of operational processes, and adherence to safety and regulatory standards.

Essential Duties and Responsibilities

Operational Oversight :

Strategically plan and manage shipping & receiving, transportation, Invoicing and customer services.

Coordinate communication with shipping vendors, operations managers, and warehouse staff on shipments (both inbound and outbound).

Oversee inventory management, ensuring stock levels are accurate and meet customer demands.

Ensure all shipping documents, including bills of lading, are properly collected and filed.

Direct the daily operations of forklift operators and warehouse staff, ensuring proper workflow.

Logistical Planning and Execution :

Manage and optimize the full order cycle, from production to delivery, ensuring timely shipments and proper product storage.

Use functional systems (e.g., barcode scanners, tracking software) to track orders and shipments.

Ensure inventory accuracy through regular reconciliations and physical inventory checks.

Develop and implement strategies to optimize inventory control and logistics operations.

Monitor and support continuous improvement efforts, including optimizing load / unload times and outbound scanning processes.

Compliance and Reporting :

Maintain compliance with shipping legislation and company policies.

Monitor safety regulations and ensure safety checks are conducted daily on all equipment.

Report on stock levels, inventory issues, and operational performance to upper management.

Ensure that all inventory postings are completed daily by the expected deadline.

Maintain and update work instructions as needed.

Prepare and maintain documentation for End of Month (E.O.M.) activities and special projects as assigned.

Supervisors are expected  to plan, organize, and direct daily logistics operations; evaluate plant operations and monitor  workflow. Train, develop, and supervise employees; coach and provide feedback as necessary to improve  p roduction and quality levels .  Work on continuous improvement initiatives in respective departments to improve safety, quality, and efficiency; ensure production deadlines are met and fulfilled as  required . Develop and  maintain  employee relations in a professional and respectable manner.  Anticipate and react to potential production interruptions and aid in recovery to minimize loss.  Direct Leads to support the team on daily  needs to meet production goals.

If  the  Supervisor see s  any behavior from workers that violates MTNA policies, including but not limited to its Non-Discrimination and Non-Harassment policies, the Supervisor must  immediately  address and report such behavior to an  Operations  Manager and / or HR and  document the incident or behavior in question. The Supervisor must instruct the harasser or worker engaging in discriminatory behavior to stop the behavior in question and intercede to separate the parties involved if they able to do so without risk to their own personal safety. Supervisors must set an example to all workers by following MTNA policies.

Team Development and Support :

Provide training for the shipping & receiving and administrative teams.

Assist in the recruitment process by interviewing and making selection recommendations for new hires.

Assist in performance management by counseling employees when performance is not up to standard.

Support employee development and growth within the department.

Specialized Responsibilities :

Monitor FIFO (First In, First Out) and returns reports, ensuring all are closed by the end of the week.

Oversee the loading process of transfer trucks to ensure accuracy in paperwork and inventory.

Address and resolve non-compliance issues directly with employees.

Investigate reasons for misreporting and ensure corrections are made.

Handle customer complaints and resolve issues related to shipments, inventory discrepancies, and product returns.

Inventory and Procurement :

Maintain accurate inventory records on reusable plastic containers (RPC) and pallets.

Manage purchase orders (POs) and coordinate with vendors.

Monitor and manage the order of materials such as plastic wrap and pallets.

Assist in inventory count and posting of returns, wash sheets, and other logistics documentation.

Invoice Review

Verification of Invoice Details : Ensure all invoices contain accurate information, such as vendor name, invoice number, invoice date, purchase order (PO) number (if applicable), and payment terms.

Accuracy of Amounts : Check for the correct calculation of charges, including subtotal, taxes, and total amount due.

Compliance Checks : Verify that invoices comply with company policies and procedures, including vendor setup and adherence to payment terms.

Duplicate Invoice Check : Review system records to prevent duplicate invoice submissions.

Data Entry into Invoice Management System

Entry of Invoice Information : Accurately and promptly input invoice details into the invoice management system.

Attachment of Supporting Documents : Ensure that all relevant documents (e.g., receipts, purchase orders, contracts) are uploaded to complete the invoice process.

Coding and Allocation : Properly assign cost centers, account codes, or project codes as required .

Submission and Routing

Invoice Submission : Submit invoices for approval within the system, ensuring they are routed to the correct approvers.

Tracking Approval Workflow : Monitor the status of submitted invoices and follow up with approvers as necessary to avoid delays in processing.

Issue Resolution

Flagging Discrepancies : Identify and report any discrepancies or missing information to the appropriate parties for resolution.

Communication with Vendors / Internal Teams : Collaborate with vendors and internal teams to resolve issues such as incorrect invoices or missing documentation.

System Maintenance and Reporting

System Updates : Ensure all invoice data and records are up-to-date in the invoice management system.

Basic Reporting : Generate reports on submitted invoices, including pending approvals and processed invoices, as requested by management.

Safety

Logistics Supervisors must instruct their teams on proper use of safety equipment and emergency procedures that might become necessary during production. Supervisors are required to ensure all employees are wearing and utilizing all PPE. The Supervisor is responsible for conducting safety checks on all equipment throughout production and monitoring employees to ensure they are performing safe activities. The supervisor must keep security and sanitation as a high priority. If incidents occur compromising safety or security, the Supervisor must ensure employees are safe, a report is compiled and submitted to HR for processing. Follow through with immediate corrections to ensure the security and safety of the rest of the team. Make recommendations of corrective actions needed to maintenance.

Production Goals and Quality

Logistics Supervisors are responsible for meeting production goals and quality assurance standards. Supervisors must ensure product specifications and manufacturing procedures comply with regulations, including those under OSHA & AIB, etc. The Supervisor is responsible for maintaining high production standards while reaching production goals and ensuring quality control standards are not compromised. If the Supervisor is unable to meet production goals or observes quality deficiencies, the Supervisor should try to identify the cause of the quality defect and confer with their manager regarding solutions.

Ensure your line adheres to 5S, Six Sigma (make your area neat and tidy).

Report and offer suggestions of corrective action of recurring issues to Operations Manager and / or Plant Manager.

Support Operations Manager and all departments’ activities.

Qualifications

Education & Experience :

High school diploma / GED required; completion of a craft apprenticeship or equivalent number of years of education.

2+ years of experience in a shipping & receiving environment (for Shipping & Receiving Lead roles); 5+ years in logistics and inventory management (for Logistics Supervisor ).

Bilingual (English required ; Spanish and / or French preferred).

Skills :

Strong knowledge of Microsoft Office (Excel, Word, Outlook); proficiency with SAP applications preferred.

Experience with inventory control systems, barcode scanning, and tracking software.

Excellent communication skills, both verbal and written.

Ability to analyze data, maintain metrics, and implement improvements.

Strong attention to detail, documentation skills, and ability to handle multiple tasks efficiently.

Supervisory Experience :

Proven experience in supervising a team, managing performance, and providing staff development.

Experience in hiring processes, including interviewing and making selection recommendations.

Working conditions

Work Environment :

Occasionally exposed to wet or humid conditions, moving mechanical parts, fumes, airborne particles, toxic chemicals, outdoor weather conditions, and extreme temperatures.

Noise levels in the work environment may be loud; hearing protection is available.

Office setting with light dust accumulation and ambient temperatures following external conditions.

Position Type and Hours of Work :

Full-time position ( 40 hours per week).

A flexible schedule and rotating shifts may be required . Weekend work may be required as duties demand.

Physical Requirements :

While performing the duties of this job, the employee is regularly required to talk, listen, walk, stand, bend, kneel, stoop, crouch, crawl, and climb.

The position is highly active and requires frequent lifting and / or moving items up to 50 pounds.

Specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
