PDS Defense, Inc. is seeking an Office Administrator D, in Everett, WA. Job ID#215306

Pay Rate : $29 - $34 / hr

Job Description : The ideal candidate has experience supporting executives with a high degree of professionalism and discretion, while also being proactive and demonstrating robust attention to detail, along with the ability to adjust priorities efficiently and effectively.

Position Responsibilities :

  • Establish and maintain effective working relationships with internal and external customers, co-workers and peers, while maintaining the highest level of confidentiality with sensitive information and while working under tight and often competing deadlines
  • Assist in planning, coordinating, and implementing logistics for visiting customers and executives, including supporting visitor badging requests
  • Process and screen incoming and outgoing communication and correspondence to ensure proper dissemination of information
  • Prioritize, manage, and schedule time and availability for most efficient use of time
  • Coordinate domestic and international business travel, monitor traveler logistics, generate expense reports, and reconcile corporate credit card charges to ensure timely and accurate reimbursement
  • Create, edit, and maintain electronic and written communication
  • Coordinate with the appropriate focal to support the acquisition and maintenance of resources
  • Order and maintain office supplies
  • Track and maintain designated conference room schedules for availability and efficient use of resources
  • Create, manage and schedule meetings around multiple calendars and appointments
  • Provide guidance for less experienced employees
  • Work under limited supervision

This position is expected to be 100% onsite. The selected candidate will be required to work on-site at one of the listed location options.

Basic Qualifications (Required Skills / Experience) :

  • High School Diploma or higher
  • Experience supporting multiple Executives.
  • Experience with Microsoft Outlook, Word, Excel and SharePoint.
  • 5+ years experience in an office administration role
  • Experience managing dynamic schedules and calendars.
  • Experience coordinating and processing domestic and international travel arrangements, generating expense reports and reconciling corporate credit card charges.
  • Preferred Qualifications (Desired Skills / Experience) :

  • Experience with procurement tools such as SSPN.
  • Ability to juggle competing priorities from different sources.
  • Team oriented attitude and working together focus.
