Office Administrator needed for a biotechnology company located in Tustin. We are seeking a dynamic individual to serve as the operational and administrative hub of the company. This role ensures executive efficiency, facility excellence, and the secure management of the company’s digital and physical documentation, from new hire onboarding to vendor contracts.
This position will be for 3-6 months with potential to be hired on based on performance and business needs. Paying $25-28/hr, depending on experience, with excellent benefits.
Responsibilities:
- Front Office and Hospitality: greeting guests with a positive attitude and ensuring the front office space is organized and welcoming.
- Talent and Onboarding: Screening resumes against job descriptions, scheduling interviews, setting up desks for new hires, conducting office tours, and assisting with new hire paperwork.
- CEO Admin Support: supporting the CEO's master schedule and conference room priorities, screening incoming CEO emails and phone calls as required, and assisting the CEO with travel and event logistics.
- DocuSign Admin: Prepare, send, and track digital envelopes for signatures. Ensure that fully executed contracts are downloaded and filed in the correct secure directory.
- Facility and Kitchen Care: Check conference rooms and manage weekly deliveries.
- Logistics and Shipping: Sign for and deliver packages daily.
- Finance and Projects: Assist with A/R, collections as required. Pack for tradeshows and help with office reorganization.
Skills / Experience Required:
- Minimum 2 years of office Administrative experience.
- Expert proficiency in MS Outlook and working knowledge of DocuSign e-signature, basic Excel, and A/R.
- Associates or bachelor's degree is a plus
- High school diploma required.
- Ability to lift up to 25 lbs. for packages and supplies
Compensation / Pay Rate (Up to): $25.00 - $28.00 Per Hour
