What will you be doing?
As an Administrative Assistant (Community Programs Specialist), you will be the engine that keeps critical program information accurate, current, and accessible. The Administrative Assistant enters and manages participant data in systems like Salesforce, Excel, and Qualtrics, processes registrations and renewals, tracks surveys, and supports monthly reporting tied to grant and donor requirements. Accuracy and speed matter here because the work of this Administrative Assistant directly supports funding, program quality, and the experience of girls and volunteers. You will also respond to questions from Troop Facilitators and community partners, route requests, and make sure people get the help they need quickly and professionally.
This Administrative Assistant also plays a hands-on role in operational support. You will coordinate program supplies, manage inventory, prepare materials and incentives, and ensure everything is ready for troop sessions and activities. The Administrative Assistant monitors reports, verifies data, and flags issues before they become problems. You will help maintain rosters, demographic records, attendance tracking, surveys, and program documentation that show the success stories and real impact of our community programs.
The Administrative Assistant reports to the Director of Community Programs.
Who are we seeking?
We are looking for an Administrative Assistant who brings strong customer service, excellent written and verbal communication, and sharp attention to detail to their work. You should be comfortable with databases and Microsoft Office, especially Excel, and confident learning new systems quickly. Time management, follow-through, and the ability to solve problems independently are essential for success as an Administrative Assistant. An associate degree or equivalent experience and at least one year of relevant experience are required. Bilingual skills in Spanish or French are a plus. The selected candidate must also be able to pass a post-offer Level 2 fingerprint-based background check and motor vehicle check with satisfactory results. The Administrative Assistant must also maintain a valid driver's license and reliable transportation for occasional program-related needs.
