We are looking for a skilled Administrative Assistant to join our team in Norfolk, Virginia, on a contract basis. This role involves providing high-level administrative support to multiple brokers, assisting with document creation, correspondence, and follow-up tasks. The ideal candidate will bring strong organizational skills, attention to detail, and familiarity with the real estate or legal industry.
Responsibilities :
- Provide comprehensive administrative support to brokers, including managing correspondence and preparing documents.
- Organize and maintain schedules, ensuring timely follow-ups and effective calendar management.
- Handle inbound calls with a detail-oriented approach, addressing inquiries and directing them appropriately.
- Perform accurate data entry and maintain records with a high level of precision.
- Assist with project coordination and ensure tasks are completed efficiently.
- Utilize Microsoft Word and Excel to create and manage documents and spreadsheets.
- Support the team with receptionist duties, welcoming guests and maintaining an environment focused on attention to detail.
- Coordinate appointments and meetings, ensuring smooth scheduling and communication.
- Collaborate with team members to ensure seamless workflow and task completion.
- Proven experience in administrative roles, preferably in real estate or legal environments.
- Strong proficiency in Microsoft Word and Excel.
- Excellent multitasking skills with the ability to manage competing priorities.
- Exceptional organizational abilities and attention to detail.
- Effective communication skills, both written and verbal.
- Familiarity with calendar management and scheduling appointments.
