SUMMARY OF POSITION

: The Accounts Payable/AccountingAssistant is responsible for managing accounts payable, accounts receivable,cash reconciliations, purchasing credit cards, and journal entries for afast-paced, multi-company medium sized family business. The ideal candidate must be able tocommunicate effectively, possess analytical and problem-solving skills, strongorganizational skills and be detail oriented.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Review, obtain approval,allocate (multi-company), general ledger coding, and input a high volume ofaccounts payable invoices
  • Process bi-monthly checkruns, including printing checks, matching checks and back-up, mailing paymentsto vendors; and filing payments
  • Review, reconcile, codeand input employee expense reports and credit card accounts
  • Manage the accountsreceivables including entering invoices, billing customers (email invoices),and proactively follow-up on aged invoices
  • Research vendor,customer, and employee inquires and resolve in a timely manner
  • Quarterly reviewaccounts receivable and accounts payable aging reports and resolve aged items
  • Download daily cashreports from POS systems, reconcile cash receipts including: cash, creditcards, gift cards, and third-party income with bank transactions
  • Assist the AccountingManager with entering journal entries, preparing bank reconciliations, andyear-end audit schedules
  • Provide management withreports, data, and analysis request for month end close and annual audit
  • Takes ownership ofadditional projects in order to advance the goals of the accounting department
  • General office duties includingfiling and scanning of invoices, corresponding via email and answering
  • Perform other tasks, asassigned

JOBREQUIREMENTS

  • Thorough knowledge of accounts payable, including familiarity with the general ledger and financial chart of accounts.
  • QuickBooks experience required.
  • Intermediate to advanced computer skills in Microsoft Office and Excel.
  • Excellent attention to detail.
  • Strong organizational ability and data entry skills including 10-key (typing speed: 50 wpm).
  • Effective verbal and written communication skills.
  • Must be able to work as a team member.
  • Ability to work independently and provide information in a timelymanner.
  • Excellent time management skills with a proven ability to meetdeadlines.
  • Must be able to thrive in a fast-paced environment andsuccessfully manage multiple projects with ever-shifting priorities.

EDUCATION AND EXPERIENCE

  • Associate degree in arelated filed or equivalent experience; including completion of basicaccounting classes.
  • 3+ years' experience insimilar role within a retail, restaurant, or multi-unit environment.

WORKINGENVIRONMENT/MINIMUM PHYSICAL REQUIREMENTS

  • Minimum age of 18 years.
  • Full-time position: the position may require weekends and eveningwork.
  • Ability to sit, stand or walk for long period of time.
  • Ability to push and pull up to 30 pounds.
  • Must be able to lift up to 40 pounds at times.
