An Account Receivable (AR) Associate 1 contributes to the efficient operation of a branch by providing financial, clerical, and administrative services to ensure efficient, timely, and accurate payment of accounts. This position is entry-level and works under general supervision. Because this role provides general office support, duties vary from day to day. The core of the job will emphasize on ensuring that accounts receivable functions run efficiently and are able to provide excellent service to clients and customers.

Essential Job Functions:

• Ensure that each employee, customer, clients, and vendor receive outstanding customer service by providing a friendly environment that includes greeting and assisting everyone.
• Responsible for cash application (i.e., check, cash, credit cards), AR refunds, various clearings (i.e., credit memos, settlements, claims, debit memos, trade management), applying sales amendments, write-offs, and saving documents to share folder.
• Reconcile invoices and identify discrepancies.
• Perform research on deductions taken by the customer on a timely basis.
• Monitor customer accounts details for non-payments, delayed payments, and other irregularities.
• Maintain accurate customer master and send requests when updating address or other information when necessary (i.e., liquor or other licenses, etc.).
• Communicate with customers via phone, email, or in person.
• Issue invoices and credit memos as needed.
• Interact with clients and others to resolve outstanding payment issues.
• Send statements and invoices to outstanding customers.
• Prepare bank deposit.
• Works as a liaison between sales and clients.
• Administrative tasks including printing and filing according to company SOPs (Standard Operation Procedures).
• Send documents to customers or sales for collections upon request.
• Work closely with the corporate accounting department to ensure that all accounting matters are taken care of accurately and timely.
• Prepare AR-related reports.
• Electric Data Interchange (EDI) related tasks.
• Other tasks as assigned.

Knowledge, Skills and Ability:

• Knowledge of general office operation.
• Knowledge of accounts receivable.
• Data entry keyboarding skills without error at a moderate rate of speed.
• Good communication skills internally and externally via phone, email, and in person.
• Good math skills and ability to spot numerical errors.
• Multi-tasking multi assignments need to be handled at one time.
• Organization Skills Ability to pay close attention to detail for accuracy.
• Good interpersonal skills.
• Skills in the use of a calculator.
• Ability to speak clearly, concisely, and effectively.
