Administrative Coordinator
We are looking for a detail-oriented administrative coordinator to join our team on a contract basis in Oakland, California. In this role, you will oversee tenant relations and maintenance operations for a portfolio of properties, ensuring smooth processes and excellent service delivery. Responsibilities :
- Act as the primary point of contact for tenant inquiries, resolving issues promptly and professionally to maintain satisfaction.
- Coordinate move-in and move-out processes, including property inspections and lease renewals.
- Organize and schedule maintenance and repair activities across managed properties, ensuring timely completion.
- Communicate with contractors, vendors, and maintenance staff to facilitate quality service.
- Conduct regular property inspections to identify maintenance needs and uphold safety standards.
- Maintain accurate tenant records and documentation related to property operations.
- Respond to emergency maintenance requests, including outside standard working hours, to ensure tenant safety.
- Collaborate with property managers to address tenant concerns and operational challenges effectively.
- Manage inventory for supplies and equipment required for maintenance tasks.
- Prepare and submit detailed reports on maintenance operations and tenant satisfaction.
Requirements :
Proven experience in administrative coordination, tenant relations, or property management.Strong organizational skills with the ability to manage multiple tasks simultaneously.Excellent communication abilities, both written and verbal.Familiarity with handling inbound calls and providing exceptional customer service.Proficiency in calendar management and scheduling.Knowledge of landlord-tenant regulations and dispute management.Experience coordinating maintenance requests and working with vendors.Ability to respond effectively to emergencies and prioritize safety.
