Key Responsibilities
Greet and Welcome Visitors
- Provide a friendly and courteous greeting to all visitors.
- Maintain a professional, neat, and organized appearance at the front desk.
- Direct visitors to the appropriate departments or personnel.
Answer and Direct Phone Calls
- Manage a multi-line phone system, answer incoming calls, and route them to the appropriate staff.
- Provide accurate information and answer inquiries as needed.
Handle Mail and Deliveries
- Receive, sort, and distribute incoming mail and deliveries promptly.
- Prepare and handle outgoing mail as needed.
Administrative Support
- Assist with basic clerical tasks, including filing, photocopying, and data entry.
- Maintain office supplies inventory and reorder as necessary.
- Support additional office tasks or special projects as assigned by management.
Maintain Security and Safety
- Ensure that visitor log procedures are followed.
- Adhere to security protocols for visitors and building access.
Skills, Knowledge and Expertise
- Education: High School Diploma or equivalent; additional qualifications in office administration are a plus.
- Skills: Excellent communication skills, professional attitude, strong customer service skills, multitasking, and time-management abilities.
- Technical Proficiency: Familiarity with office equipment (e.g., phones, fax machines, computers) and proficiency with MS Office Suite.
