Position Information Position Title Psychology Budget Administrator FLSA Classification NE Reports to Department Chair Salary Range H1 Weeks Per Year 52 Work Week 35 hours (minimum) Position Summary Assumes responsibility for departmental budgeting activities and administrative support in an effort to ensure prudent fiscal oversight as well as effective and efficient operations. Performs all duties in full support of the University’s mission, understanding that the positive and effective execution of these duties are instrumental to the education of the University’s students. Hiring Range Hourly rate is $20.00 per hour to a maximum of $23.25 per hour Key Responsibilities Key Responsibilities
Fiscal Budget - Responsible for all budget transactions: Requisitions, Purchase Orders (PO), Travel Expense Voucher (TEV) reimbursements, payment to outside speakers, vendors, etc. via Order for Check (OFC), Interdepartmental Monetary Transfers (IDT), moving funds within restricted fund lines, internal department (online) budget transfers within Banner, tracking and managing multiple budgets including, but not limited to, additional faculty grant budgets and special funds and student organization transactions.
- Monitors budget and processes expenses for faculty searches, lab fees, professional development funding, and grants and awards for faculty research. Creates reports as required for various spending lines. Notifies faculty of awards.
- Acts as key individual for all department purchases including all supplies, diagnostic materials, copier supplies and contracts; creates purchase orders and process payments for items such as department equipment, memberships, and accreditation fees.
Reports - Collects and compiles all teaching load data for fall and spring Faculty Load Reports including course releases.
- Collects and prepares data for annual Faculty Disbursement Report.
- Collects data and prepares Part-time Faculty Budget reports for fall and spring semesters; includes projected and actual budgets, and calculates variances to submit to chair/department head.
Graduate Assistantship Support - Processes all employment roster documentation for all graduate assistants and ensures funding is appropriately set up.
- Assists Chair and Graduate Directors in preparing request forms and decision letters to graduate students.
Graduate Support - Coordinates dissertation points and payment system by tracking points for department faculty and initiating payments for outside readers (works closely with GIPP Specialist for reader contracts and associated required paperwork).
- Processes practicum/internship stipends for school psychology program
- Processes graduate clinical and school training financial transactions, and as needed, supports preparation for trainings – room reservations, coordinating with participants and related offices.
- Supports GIPP grant-related contracts, presentations, etc. Supports Psychological Clinic reimbursements, as appropriate.
General Administrative Responsibilities - Collaborates with other department staff to coordinate all events.
- Hires and supervises any graduate assistants and work-study students
