Program Administration Specialist

The Program Administration Specialist provides professional support to program and project offices by preparing management plans, coordinating deliverables, and supporting administrative process development. This role facilitates proposal preparation, contract deliverables, and task order reviews while ensuring administrative procedures align with organizational and contractual requirements.

Responsibilities

  • Support program / project office activities through preparation of management plans and reports.
  • Coordinate schedules to ensure timely completion of proposals, contract deliverables, and task order reviews.
  • Support preparation of briefings, presentations, and in-process reviews.
  • Perform analysis, development, and review of program administrative operating procedures.
  • Assist in tracking deliverables and monitoring project timelines.
  • Utilize Microsoft Office Suite, Visio, Project, and related tools to support planning and documentation activities.
  • Support documentation control and reporting requirements.
  • Collaborate with program leadership and stakeholders to align administrative processes with project objectives.
  • Prepare status reports and program documentation for leadership review.
  • Ensure compliance with internal administrative standards and contractual requirements.

Qualifications

  • Approximately four (4) years of experience supporting program or project management activities.
  • Experience preparing management plans and administrative documentation.
  • Demonstrated ability to coordinate schedules and track deliverables.
  • Proficiency in Microsoft Office Suite, Visio, and Project.
  • Experience reviewing and improving administrative operating procedures.
  • Strong organizational and analytical skills.
  • Effective written and verbal communication abilities.
  • Ability to manage multiple program support tasks simultaneously.
  • Education

    Bachelor's Degree (BS / BA) in Business, Management, Public Administration, Project Management, or related field required; OR equivalent combination of education and relevant experience.
