Overall Function :

Provides administrative, clerical, and program support to Protective Services staff. This position assists with documentation, case coordination, client communication, and overall program operations.

Essential Functions :

  • Prepare, maintain, and organize case files, reports, and required documentation in accordance with program policies and state regulations.
  • Assist with data entry into the program management system; ensure accuracy, confidentiality, and timely updates.
  • Answer and respond to telephone calls, emails, and walk-in inquiries; provide appropriate information or direct to the appropriate staff member.
  • Assist with scheduling home visits, interviews, and meetings for investigators.
  • Assist staff members with filing and other administrative tasks.
  • Other duties as required.
  • Adheres to all policies, laws, regulations, and codes of ethics and confidentiality as outlined by federal and state laws, and agency policies and procedures.
  • At least 1-2 years of administrative or program support experience or the equivalent combination of experience and training, as determined by the agency,
  • Knowledge of general office procedures, including interpersonal skills and telephone interaction.
  • Demonstrated proficiency on a typewriter and / or computer keyboard.
  • Excellent communication, organization, and ability to multitask.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Must successfully obtain clearances from the PA State Police, Child Abuse Clearance from the PA Department of Human Services, and FBI Fingerprint Clearances, as required.
  • Must not be excluded from participation in Medicare, Medicaid, or any other federal health care program.
  • Ability to sit for long periods of time during the workday.
  • Ability to operate a keyboard and multi-line telephone simultaneously, with a high degree of accuracy.
