An Organization in Downtown Los Angeles is seeking a detail-oriented HR Administrative Assistant to provide clerical and operational support to our Human Resources department and HR Generalist. This role is 100% onsite at our main HR office, ensuring responsive employee support and effective compliance coordination.

Responsibilities :

  • Digitize and maintain employee records in both electronic and physical formats, ensuring compliance with state and federal standards.
  • Conduct background checks, monitor employee credentials, and track health compliance items such as TB and Flu requirements.
  • Coordinate the onboarding and compliance documentation for volunteers and students, collaborating with supervisors and partner organizations.
  • Assist with training sessions by partnering with vendors, maintaining logs, and updating certification records.
  • Manage clerical tasks such as mail distribution, badge issuance, supply orders, and parking validations.
  • Process employment verifications and track departmental invoices while maintaining accurate audit logs.
  • Support benefits administration by assisting employees with enrollments, system updates, and Open Enrollment activities.
  • Ensure annual California Labor Law posters are displayed at all locations and assist with New Employee Orientation logistics.
  • Maintain confidentiality and accuracy when managing disciplinary records and other sensitive HR documentation.
  • Perform additional administrative duties to meet evolving needs of the HR department.
  • Strong experience with Microsoft Excel
  • Experience with UKG is a big plus.
  • Minimum of 2 years of experience in Human Resources or related administrative roles.
  • Proficiency in HRIS systems, with experience using UKG Pro preferred.
  • Strong skills in onboarding processes, employee relations, and compliance tracking.
  • Familiarity with conducting background checks and maintaining confidential personnel records.
  • Advanced knowledge of Microsoft Excel for data management and reporting.
  • Ability to manage multiple priorities and deliver accurate results within deadlines.
  • Excellent organizational skills and attention to detail.
  • Strong interpersonal and communication skills for effective collaboration across teams.
