DSD Assistant / Staffing Scheduler

The DSD Assistant / Staffing Scheduler supports the Director of Staff Development and nursing leadership by coordinating staff schedules, assisting with onboarding and training logistics, and ensuring adequate staffing levels in accordance with Nevada state regulations and facility policies. This role plays a critical part in maintaining quality resident care through effective staffing coordination. A current CNA license is preferred to enhance clinical understanding and scheduling accuracy.

Essential Duties and Responsibilities :

Staffing & Scheduling :

  • Prepare, maintain, and post daily, weekly, and monthly nursing staff schedules (CNA, LPN, RN).
  • Ensure appropriate staffing ratios and coverage per Nevada state requirements and facility standards.
  • Coordinate shift coverage for call-offs, PTO, leaves of absence, and vacancies.
  • Communicate staffing needs and schedule changes promptly to nursing staff and leadership.
  • Maintain accurate attendance, timekeeping, and staffing records.

Staff Development Support :

  • Assist the DSD with onboarding logistics, orientation scheduling, and tracking of new hires.
  • Maintain staff education and in-service records, including annual competencies and mandatory training.
  • Track license and certification renewals (CNA, LPN, RN) and notify staff of upcoming expirations.
  • Assist with scheduling CPR, TB testing, and required in-services.

    • Administrative & Compliance Duties :

  • Maintain confidential personnel and staffing records in compliance with HIPAA and labor laws.
  • Support audits, surveys, and state inspections by providing staffing and education documentation.
  • Assist with preparation of staffing reports as requested by the DON or Administrator.
  • Ensure compliance with facility policies, procedures, and Nevada Department of Health and Human Services (DHHS) regulations.

    • Communication & Collaboration :

  • Serve as a liaison between nursing staff, DSD, DON, and department managers.
  • Address scheduling concerns professionally and fairly.
  • Promote teamwork, accountability, and a positive work environment.

    • Qualifications : Required :

  • High school diploma or equivalent.
  • Previous experience in healthcare scheduling, staffing, or nursing administration in a SNF or healthcare setting.
  • Strong organizational, communication, and time-management skills.
  • Proficiency with scheduling software and Microsoft Office (Word, Excel, Outlook).
  • Ability to handle confidential information with professionalism and discretion.

    • Preferred :

  • Active Nevada CNA license.
  • Prior CNA or direct patient care experience in a skilled nursing facility.
  • Familiarity with Nevada staffing regulations and long-term care requirements.
  • Experience supporting staff development or education departments.
