Hours: 9:00am-6:00pm, with flexibility as needed
Compensation: $130,000-$175,000 annually, plus full benefits
Reports to: Facilities Director
Overview The Facilities Manager is responsible for assisting with keeping the NYC property and systems operating efficiently. The Facilities Manager has oversight of the home systems and well-being of the property. This role reports to the Facilities Director while also taking direction from the Property Manager to keep up with repairs, maintenance, installations, renovations, and any other items related to the property.
The Facilities Manager will be based in NYC and will additionally have oversight of facilities at a property in Massachusetts. Flexibility to travel to other Long Island property locations and to Massachusetts from time to time is required.
Responsibilities Duties may include, but are not limited to:
Property Maintenance - Daily maintenance of all property facilities, ensuring optimal functionality of HVAC, electrical, plumbing, mechanical, lighting, AV, security, and other systems
- Performance of minor repairs and maintenance on property, equipment, and systems (including fixing lighting devices, cleaning of ceiling fixtures, maintenance of HVAC vents/grills, addressing clogged drains, troubleshooting appliance issues, etc.)
- Create and manage daily maintenance checklists and HVAC system readings/set points or parameters
- Continuous and vigilant system monitoring to ensure optimal performance and to allow for proactive interventions as needed
- Assist with interior as needed (cleaning of fireplaces, restocking supplies, taking out trash, cleaning windows, taking inventories, etc.)
- Coordinate with Facilities Director and external vendors for repairs; maintain strong vendor relationships
- Supervision of vendors onsite to ensure adherence to property protocols, quality of work, and approval of implemented solutions
- Assist with set up, breakdown, and execution of parties/events (i.e., managing vendor deliveries, protection of home flooring, walls, and ceiling as applicable, building policies and requirements for vendors, advise on setup of items and related structures, service support during events, restocking facilities related items/inventory etc.)
- Run errands as needed for supplies, and operational support
Preventative Maintenance - Ensure all Electrical, Mechanical, Plumbing, AV, Security, and other Fire Safety devices and systems are operating and functioning per design specifications
- Maintain an inventory of maintenance supplies, tools, and equipment, ensuring availability and functionality via checklists or Asset Management System
- Conduct basic preventive maintenance work on kitchen equipment (cooking & refrigeration)
- Maintain all blueprints and operations & maintenance manuals
- Observe proper workplace safety procedures
- Utilize appropriate Personal Protective Equipment (PPE)
- Conduct and participate in safety and operations meetings as applicable, etc.
Home Technology - Manage home tech systems and digital controls
- Maintain clear documentation of tech systems and digital controls
Emergency Response - Be on call for urgent maintenance needs, addressing emergencies as they arise
Qualifications - Strong working knowledge of property systems, including HVAC, electrical, plumbing, mechanical, lighting, AV, and security, with the ability to diagnose issues as they arise and implement effective solutions
- 5+ years' experience troubleshooting basic household/facilities issues, using tools, and making repairs
- Experience and proficiency with home tech systems and digital controls (specifically Lutron, Savant, Crestron, and/or Control4)
- Previous mechanical-minded hands-on work experience
- Previous experience working alongside/supervising third party vendor work a plus
- Previous HVAC or other mechanical training a plus
- Solutions-oriented with a strong problem-solving mindset
- Proactive; able to identify and mitigate potential issues
- Collaborative and flexible in nature with the capacity to shift from one task to another easily and with little notice when needed
- An eye for detail and proclivity for keeping property clean, neat and organized\Experience working with residential buildings or hotels a plus
- Service-oriented mindset
- Strong written and verbal communication skills
- Ability to lift up to 50 pounds or more
- Ability to stand, walk, bend, kneel, and crouch for extended periods while performing inspections and minor repairs
- Prior experience working on private estates, luxury residential buildings, or within hospitality environments (hotels preferred)
- Must be legally authorized to work in the United States
- Must be based in NYC
- Must have strong employment references and be willing to undergo a thorough background check
- Must have a valid driver's license
Compensation & Benefits: - $130,000-$175,000 annually
