Job Description

Under general supervision, the Academic and Career Program Coordinator supports the planning, development, implementation, and continuous improvement of academic enrichment, work experiences, and career development initiatives within the Transition University for Career Advancement and Successful Adulthood (Transition University) program at Texas A&M University–San Antonio. This role advances academic skills, ensures access to quality learning and work-based opportunities, builds effective community and employer partnerships, and supports program evaluation and reporting—improving outcomes for students with intellectual disabilities (ID). The Coordinator collaborates with university faculty, staff, students, families, school districts, vocational rehabilitation partners, and employers to promote student persistence, and successful transitions to independent adulthood and gainful employment.

Position Hours : 100% on-site at the San Antonio campus or at related site visits. Monday–Friday, 8 a.m. to 5 p.m., with flexibility for evening or weekend work as needed. Work will include student support and engagement.

This is a grant funded position. This is a grant-funded position that is based on the continuation of the grant (for up to five years).

Responsibilities :

Coordinate, monitor, and provide academic enrichment, tutoring, and integrated work experiences aligned with student goals and program objectives.

Coordinate and support Transition University operations and needs.

Monitor allocation of funding and implementation of activities.

Lead and assist with data collection for program assessment and grant compliance.

Evaluate user and outcome data to continuously refine the programming to increase program effectiveness and outcomes.

Build, maintain, and expand relationships with community partners, employers, school districts, and workforce / career agencies to support internship and employment opportunities for students.

Organize, provide, assist, and evaluate person-centered planning (PCP) and individualized learning plans (ILPs) for students; ensure fidelity in implementation and ongoing review.

Develop procedures for specialized functions to enhance program delivery.

Develop and maintain a variety of fiscal, administrative, and academic records & reports, including required federal and internal reports and program evaluations.

Liaise with faculty and staff to collaboratively support and monitor academic and career learning—including adjustments to course syllabi, expectations, and assignment modifications for specific access.

Support and implement all Transition University recruiting, instructional and job readiness activities, including post-completion workforce tracking, and coordinate partnership projects.

Develop and deliver training sessions, workshops, and professional development for students, families, staff, faculty, employers, and community partners, including disability awareness, Universal Design, and assistive technology implementation.

Oversee and schedule academic support services each semester and monitor progress.

Provide guidance and develop capacity in instructors and staff to support varied student needs.

Collaborate with the career services office (such as Mays Center) and external professionals to ensure individualized support and access to career counseling and employer-facing programming.

Coordinate daily office support activities, maintain organizational workflow, and resolve sensitive or confidential matters with professionalism and discretion.

Research and analyze program requirements, develop and optimize administrative and instructional procedures, and respond to inquiries about policies and processes.

Lead and assist with data collection for program assessment and grant compliance.

Plan meetings, events, and recruitment activities and coordinate travel arrangements for staff as required.

Supervise and provide training to program support staff, student workers, and job coaches; foster an environment of peer and community support.

Respond to inquiries and interpret rules, regulations, policies, and procedures; monitor compliance as needed.

Identify program needs and lead or arrange relevant professional development for faculty and staff.

Support communication, marketing, and community outreach related to program priorities and objectives.

Update website with program communication, updates, and developments.

Coordinate travel for the program; coordinate meetings, seminars, and other special events as required.

Coordinate maintenance of files, records, office supplies, or equipment.

Develop, adapt, and provide curriculum materials, training resources, and visual aids to support student and program goals.

May hire, train, and supervise student workers and support staff for administrative tasks.

Ensure compliance with university and grant / agency data management and reporting requirements.

Perform other duties as assigned.

Required Education and Experience :

Bachelor’s degree or higher in related field.

Two (2) years of related experience.

Preferred Education and Experience :

Bachelor’s degree in education, special education, counseling, or field related to program objectives (Master’s preferred).

At least three years of experience working with individuals with intellectual and developmental disabilities in educational, vocational, or transition focused settings.

Demonstrated experience planning, organizing, and coordinating complex, multi-activity projects in academic or career skill development environments.

Experience with post-secondary / transition education programs, special education, or disability support services.

Classroom teaching experience at the individual, small group, or whole class level.

Familiarity with person-centered planning, Universal Design for Learning (UDL), and assistive technology.

Experience working with college students, families, and workplace / community partnerships.

Knowledge, Skills, and Abilities :

Strong leadership, organizational planning, time management, and problem-solving skills; ability to multitask and prioritize competing demands.

Excellent verbal, written, and interpersonal communication skills, including the ability to interact with students and families.

Knowledge of curriculum design, academic and career skill development, and instructional support for varied learner needs.

Proficiency in Microsoft Office Suite, database applications, and other computer software.

Ability to independently manage projects and work collaboratively with a wide variety of stakeholders.

Ability to develop cooperative and effective relationships among faculty, staff, university leadership, and external partners.

Capacity to prepare and maintain accurate data, required reports, and program records.

Ability to maintain confidentiality, manage sensitive information appropriately, and work effectively in a high-stress or dynamic environment.

Ability to hire, train, supervise, and support student workers and support staff.

Commitment to customer service, excellence, and supporting student success.
